The National Tour Association (NTA) is hiring for a Project Coordinator. This is a remote position, however candidates must live in the Lexington, KY area.
Essential Functions:
1. Serve as front-line customer service representative with phone and HQ email.
2. Verify all member applications and required paperwork and activate memberships.
3. Assist with member renewal process; oversight of tour operator renewal paperwork.
4. Administer insurance collection for current tour company members.
5. Oversight of monthly Accounts Receivable process and follow-up.
6. Oversight of NTA office Accounts Payable monthly expense report.
7. Invoicing, collecting, and applying payments for event and digital sponsorships.
8. Pre- and post-event sponsor servicing and assistance (e.g., order sponsor materials, shipping support, warehouse inventory)
9. Digital sponsorship inventory management.
ADDITIONAL FUNCTIONS:
1. Support the NTA team, as requested.
2. Back-up for updates to NTA websites.
3. Document and regularly update processes.
4. Prepare prospecting lists for NTA member sales team.
5. Book staff and speaker travel.
6. Back-up with scheduling/starting webinars and virtual meetings.
7. Weekly mail pick-up and bank deposits.
POSITION REQUIREMENTS and PREFERENCES:
1. Experience in a professional work environment.
2. Ability to be a self-starter and work remotely.
3. Excellent customer service, communications, and organizational skills.
4. Attention to detail.
5. Ability to travel by air and other modes of transportation.
6. Proficient in Microsoft Office.
7. Association, customer service, and event experience preferred.
