Job SummaryThe Program Assistant will assist and coordinate the Deal Center's day-to-day administrative operations with the Administrative team and the Program team. The Program Assistant will help and support the Program Team and the Administrative Team in the execution of The Deal Center strategic plan, daily operations, financials, programs, events, and fundraising. The Program Assistant will provide support in event coordination such as room reservations, ordering catering, coordinating with parking & transportation. Generally, the Program Assistant will provide clerical support to Center staff. Reporting to the Program Manager, the Program Assistant will also provide receptionist duties for the Deal Center.
ResponsibilitiesCustomer Service - 20
Provides front-line customer service for the Center. Answers telephone, provides information and assistance, and takes messages.
Greets visitors and receives deliveries.
Administrative Support - 30
Makes copies. Faxes and scans documents. Runs errands on campus as needed. Prepares, sorts and routes incoming and outgoing mail.
Maintains files and records in hard copy and electronic format. Maintains files of requisitions, purchase orders, invoices, etc.
Manages the calendars of the Program Manager and Program Team.
Provides communication support for the Program Team.
Maintains records of professional organization memberships and subscriptions.
Assist with administering certificates or badges for GaPDS credits and CEUs.
Composes emails for the program team or events to include invitations, logistics, thank you notes, etc.
Event Coordinating - 30
Supports Program Manager in event planning and coordination. End-to- end events planning and logistics.
Makes room reservations for Center program and events. The Program Assistant is the liaison with internal departments for Continuing Education, GCSU Events, Sodexo, 25 Live system, etc.
Responsible for creating folders and other needed materials for professional development workshops. Provides registration support for professional development workshops.
Maintains assigned databases (contact lists, requisitions, contracts, partners organizations, etc.).
Assists with marketing of events by producing flyers and social media posts via Canva or similar program.
Financial Administrative Support - 20
Execute the fundamentals of ordering supplies, maintaining inventory, placing orders for the Programs Team through E-pro and internal department transfers like print shop and Continuing Education, and assisting with month end reports.
Manages the use and procedures of P-card.
Understanding of generating reports for financial checks and balances.
Educational Requirements
High School Diploma or GED
Other Required Qualifications
Proficient in MS Office software (Word, Excel, PowerPoint, Outlook, Teams, Canva etc.). Must be able to provide a professional, welcoming environment for the hosting of guests. Thorough knowledge of office practices and equipment. Exceptional oral and written communication. Must be organized and be able to prioritize workload.
Willingness to work in a team structured environment with a collaborative nature.
Required Experience
One year of related experience.
Preferred Educational Qualifications
Associate's Degree or equivalent of 3 years of related experience.
