Position Objective
Position Objective:
The primary duty of the position is to provide office support for all functions of the Police Department. Major responsibilities include, but are not limited to: processing initial complaints based on officer reports and preparing reports for charging. Setting up and maintaining files, processing correspondence, data requests and permits. Act as a liaison for the department with city and county attorneys; and, serving the public in person, by telephone and written correspondence.
Responsibilities
Essential Duties and Responsibilities:
- Provide customer service to visitors in the lobby, by phone and email by answering questions and/or directing them to the appropriate person or department
- Processes and responds to data requests in accordance with data practices laws, policies and procedures.
- Monitors prisoners via video display and personal viewing; and, conduct prisoner searches as required.
- Transcribes case reports, victim and Miranda statements and investigative recordings.
- Routes assigned reports to appropriate investigator or officer.
- Forwards necessary reports to the city and County attorneys, as well as other local, county and state agencies.
- Coordinates with outside attorneys and insurance companies supplying them with copies of reports, video recordings and photographs.
- Maintains department police files.
- Accepts, reviews and processes various permit and license applications.
- Enters private and confidential information into Federal, state and local databases in regards to stolen items and missing persons information.
- Collects cash for reports, video, vehicle releases, fingerprinting, and animal impounds.
- Perform other related work as assigned.
Minimum Qualifications
Required Knowledge, Skills, Abilities:
- Ability to speak, read and write English effectively.
- Ability to communicate effectively and courteously with the general public and staff.
- Ability to listen to others for understanding their needs and situation.
- Ability to produce quality, accurate work and utilize work time properly and productively.
- Must be able to assess problems and situations, anticipate needs and evaluate alternatives.
- Must maintain confidentiality on department related items.
- High school graduate.
- One year related experience performing responsible clerical duties.
- Able to type 60 words per minute (must be able to complete a typing test).
- Satisfactorily pass a comprehensive background investigation.
- Must possess a State Terminal Operator Certification, or pass the test within six months of hire date.
Supplemental Information
Preferred Training and Experience:
- Business school, and/or college degree.
- Experience using transcription equipment.
- Law Enforcement Records Management System.
- State Terminal Operator Certification.
