Successful Pet Travel company looking to add an essential team member to be an Administrative Specialist. This role serves as the face of our company, where you will have the first interactions with potential clients. As such, this role requires a friendly, bubbly personality, where your smile resonates over phone calls and e-mails. While we relocate pets nationwide, we generally do not have direct contact with our clients’ pets. In this position you will be expected to send estimates, call potential clients, oversee our public phone line, and follow-up on inquiries. This position also includes general office duties including, but not limited to, filing, bookkeeping, and organizational tasks.
Part-Time to Full-Time – located in Tucson, AZ
Responsibilities include, but are not limited to:
· Phone calls, including incoming and outgoing warm calls
· Respond to generic inquiries and client e-mails
· Send transport estimates to potential clients via e-mail
· Prepare airline and vet documents, mail packets, as needed
· Document and information filing; office supply orders
· Other in-office administrative duties as required by manager/owner
Requirements:
· Passion and knowledge of pets a must
· At least 2 years prior customer service and/or sales experience
· Excellent customer service and phone skills a must
· At least 2 years prior experience in fast-paced office environment
· Ability to multi-task in a fast-paced office
· Proficient with Microsoft: Outlook, Word, Excel
· Minimum 50WPM
· General knowledge of domestic geography; international a plus
· Must be organized, quick learner, and have a good memory
· Enthusiastic self-starter, motivated, detail-oriented, team player
· Ability to take direction from peers as well as management
· Ability to focus on the work at hand and leave personal business outside the office
· Familiarity with CRM programs a plus (such as Insightly)
· Must reside in Tucson, AZ or surrounding area - in-office required at least 2-3 times a month
· Have the ability to work from 8am-5pm Monday-Friday; hours are flexible based on business needs
