Open Until Filled Norris School District 160 is seeking applicants for a Payroll Specialist. The salary and benefits will be determined based on the education and experience level of the selected candidate. This position works collaboratively with the District Office Team.
Job Title - Payroll Specialist
Education Level: Bachelors degree or higher recomended. Non-certified position.
Job responsibilities include, but are not limited to:
  • Print and figure all hourly support staff pay period hours each month for payroll. Determine amount of hours worked and calculate any overtime. Enter all absences and hours worked manually into SUI. Enter all additional overtime hours or any additional hours/work completed by support staff into SUI.
  • Compare all certified absence cards, substitute cards, extra supervision cards, teacher covering for teacher cards with Frontline. Adjust Frontline leave absence amounts to correctly coincide with SUI. Upload Frontline absence file to SUI after verified with paper cards. Enter all substitute cards, extra supervision, and teacher for teacher cards manually into SUI.
  • Run monthly payroll for support staff, certified staff, substitutes, and coaches. Submit monthly and quarterly tax payments for the district. Submit New Hire monthly report. Upload bank payroll file. Print and mail all sub checks and coaches checks each month. File quarterly unemployment wages reports. Print and file all payroll reporting documents. File Quarterly 941s with IRS and (941N with State of Nebraska).
  • Track all hours worked for support staff. Report each month to buildings on long/short hours to track non-student remaining hours for each support staff.
  • Verify hours for all certified staff and support staff for month to prepare monthly Retirement wages/hours reporting to NPERS. Upload, submit and balance Retirement report to NPERS.
  • Prepare and process all new hire paperwork. Prepare annual contracts for certified staff and work agreements for support staff. Enroll employees in all eligible benefits.
  • Calculate and process all terminations, including contract payouts for support staff (still learning for certified). Terminate all appropriate benefits.
  • Responsible for NEWorks account management including unemployment claims filed, correspondences, notices, and responsible for all E-SIDES Responses within the NEWorks website for Nebraska Department of Labor.
  • Complete social security number verification service (SSNVS) via SSA Business Services Online.
  • Prepare, print and distribute all W2's to employees for prior year. Upload and file W2's electronically to SSA. Upload and file with the State of Nebraska.
  • Prepare ACA hours and compile prior year employees who qualify. Prepare, print and distribute all 1095s to employees. Submit electronic filing of 1094 and 1095s to the IRS.
  • Create and maintain employee files in SUI Payroll and hard copy files for all employees.
  • Enter and update all employees' deductions and taxes in SUI and hard copies filed in employee files.
  • Respond to all employment verification requests.
  • Answer and respond to all employee payroll and/or benefits questions.
