Remote work is subject to the remote work guidelines and conditions outlined in the job description. The supervisor may withdraw the remote work option at any time.
Essential Responsibilities: Understand and comply with the ESU #3 Board of Education Personnel Policies and Employee Handbook.Records monthly payroll record changes/updates for employees. Changes to employee records may be requested by the employee or department director. Generates payroll checks from the payroll system in a timely fashion to allow direct deposit of employee pay (usually completed four days prior to pay date).
Salaried employees are paid monthly. Hourly employees are paid bi-weekly. There are multiple payrolls per month - hourly staff every other week and all other staff on the last working day of the month.Generates monthly payroll deposits for taxes and payments for employee deductions.
Timely filing of quarterly payroll reports and annual reports including W-2's, W-3, etc for both the Federal and State government. Reporting agencies included, but not limited to, are Nebraska Department of Revenue, Internal Revenue Service, Social Security Administration, Nebraska Workforce Development (Unemployment), Nebraska New Hire Reporting, NDE's NSSRS system, and Nebraska Public Employees Retirement System.Prepares payment of employee deductions including, but not limited to, health insurance premiums, State retirement plan, life insurance premiums, long-term disability premiums, 403b plan contributions and garnishments.Reconcile liability accounts for benefit payments to ensure that what was paid is equal to what was owed. In addition, list all outstanding items that will resolve in future payrolls.Generates invoices for Substitute Program agreements with member school districts for substitutes including, but not limited to payroll costs and criminal background checks as backup to the accounting assistant.Prepares monthly journal entries and calculations.Assist HR to ensure that personnel files contain all required documentation upon hiring including but not limited to W-4 form, Nebraska Special Withholding Procedures form, benefits enrollment/decline, drug free/harassment policy, social security card, teacher certificate (if necessary), etc.When employee information changes such as position, number of days per year, etc change and review all corresponding benefit eligibility, leave, etc.Scans payroll related documents into the document imaging system.
Assists CFO in preparing special reports as needed by the Board.Days worked management from sending the spreadsheet for days worked employees to complete, monthly posting of days worked, and reconciliation of days worked to days scheduled at the end of the employee's tracking cycle.Performs other duties as assigned by the CFO as needed.Must be a team player - ability to communicate with, cooperate with, and assist other members of the staff.Must agree to keep ESU and School District confidentiality matters confidentialMust be self-motivated Must be open to changeMust be willing to tackle a challengeMust be detail orientedMust seek help from other staff members when necessaryMust possess a strong sense of ownership in work producedMust possess the ability to research potential solutions to problemsMust provide input and adhere to standardsPersonnel Budgeting, work with HR to setup and maintain.Other duties as assigned.
