American Alloy Steel, Inc is currently searching for a enthusiastic TEAM PLAYER to fill the open position of a Payroll Specialist / Sales Tax Assistant in our Houston, TX Corporate office!
The Payroll Specialist/Sales Tax Assistant will wear multiple hats including office manager, assisting with benefits/HR responsibilities were needed, etc. Although payroll is the primary function of this role, if you are not willing to assist with multiple tasks outside of payroll, then please do not apply.
Roles and Responsibilities:
The Payroll Specialist / Sales Tax Assistant is responsible for the timely and accurate processing of payroll data and associated accounting requirements, as well as the collection of W9's and Sales Tax Exemption Certificates.
- Payroll Processing. Accurate and timely processing of payroll and maintaining accurate payroll information for all domestic and Canadian employees.
- Quality Control. Reviewing payroll reports to ensure accuracy of completed payroll, reviewing and approving new hire, termination, job change, transfer, direct deposit and other applicable workflows submitted within the ADP platform and reviewing time sheets for accuracy and coordination with departments for necessary corrections.
- Data Management Maintain employee records with applicable garnishment and deductions as well as completing reports for remittance of payments to appropriate agencies.
- Reporting. Summarizing and running general ledger reports and creating, completing and submitting required payroll and labor statistic reports to governmental agencies.
- Journal Entries. Preparing payroll journal entries and analyzing general ledger accounts for accuracy.
- Payroll Tax. Review payroll tax filings to ensure completeness and accuracy.
- System Updates. Assist with the updating and maintaining the earnings codes, earnings groups, and deduction groups within the ADP platform.
- Process Improvements. Identify process improvements, implement changes and promote best practices.
- Issue Resolutions. Troubleshooting and resolving payroll related questions submitted by the employees in a timely manner.
- Personnel Training. Training Employee’s and Employee Time Approvers in accurately recording employee time records in time record keeping system.
- W9 and Sales Tax Exemption Certificate Collection. Contact customers and vendors to collect W9 and sales tax exemption certificates for sales tax department.
- And other duties as assigned.
Position Requirements:
- ADP payroll processing and implementation experience
- 2+ years in Multi-State payroll processing experience
- Experience with utilizing payroll, financial systems and software packages required.
- Working knowledge of Microsoft Office, specifically MS Excel required.
- Knowledge of payroll taxes and filings
- Bilingual REQUIRED (Spanish and/or Vietnamese)

- Persons who succeed in this position possess an ability to work accurately and within rigid time constraints and should have proficient accounting, analytical and communication skills.
- Incumbent must be organized and have the ability to handle multiple tasks at once.
- This position is very detail oriented and requires a high degree of confidentiality.
