Contacts Inside: Daily contacts with employees throughout the organization to address questions regarding payroll. Contact with HR department and Benefits Specialist on HR items running through payroll.
Contacts Outside: Occasional contacts with Department of Revenue and Department of Labor officials regarding payroll and unemployment tax issues. Biweekly to monthly contacts, as needed, with ADP, NRECA, Blue Cross, Optum, and AmeriComp representatives regarding employee benefit issues. Contact made by phone, e-mail, and fax.
PURPOSE
Role and Responsibilities
PAYROLL
- Work directly with payroll company to resolve any payroll discrepancies when manual corrections are necessary and work with designated ADP rep to resolve employee difficulties with our timekeeping system.
- Process bi-weekly payrolls through ADP by specified deadline as determined by company holidays and bank closures.
- Download the biweekly payroll reports from ADP and send applicable reports and payroll journal to Gresco’s Accountant and other members of the accounting department.
- Upload and send the biweekly employee and employer HSA and FSA contributions to the appropriate vendor.
- Compile reports on payroll data and employee leave as required and as requested by benefit vendors, payroll and worker’s comp auditors, as well as supervisors of employees.
- Coordinate yearly W-2 preparation.
- Stay up to date with ADP on system upgrades.
- Communicate all payroll tax changes or issues with ADP.
- Answer any payroll tax or direct deposit questions from employees.
BENEFITS PAYABLES
- Assist insurance companies in resolving errors found in the weekly electronic file feed process regarding employee benefits.
- Verify monthly invoices from vendors providing medical, vision, dental, FSA, HSA, identity theft, supplemental insurance, and group benefits, company-wide, as well as monitor payment of same.
- Verify weekly invoices for temporary employees and pull timesheets to support invoices before sending to Accounting for payment.
- Provide backup support for invoices for accounts payable.
ADMINISTRATIVE & OTHER RESPONSIBILITIES
- Maintain confidentiality in all payroll activities to protect the privacy of employees and management.
- Perform other activities as required or directed.
NATURE AND SCOPE
ANALYTICAL
- Some analytical evaluation and interpretation of policies and procedures to answer employee benefit questions correctly.
PLANNING
- Approximately 20% of the employee’s time is spent planning work.
REQUIRED EDUCATION/KNOWLEDGE AND EXPERIENCE
REQUIRED (minimum required job-related knowledge):
- High school diploma or equivalent.
- Some college or technical school.
- Payroll experience (1 year or more).
- Strong commitment to confidentiality.
- Strong background in math.
- Computer skills required in Word and Excel.
- Analytical aptitude and critical thinking skills.
- Strong oral and written communications skills.
- Level of accuracy required for multiple tasks.
- Problem-solving skills and high attention to detail.
PREFERRED
- B.S. degree in Business Administration
- ADP payroll processing experience
WORKING CONDITIONS
Normal office working conditions, moderate levels of stress due to deadlines and the confidential nature of human resources and payroll, high level of accuracy required, and multiple tasks. Prolonged periods of sitting at a desk and working on a computer. Must be able to lift 15 pounds at times. Occasional trips to visit other offices, attend training meetings, etc.
