Full Time Orthodontic Patient Coordinator
We are an innovative and exciting Orthodontic office that would like to hire an experienced full-time front desk coordinator to join our team. If you are reliable, outgoing, organized, detail-oriented and a fun team player, our office would be a perfect fit for you. We are offering at least 38 hours a week (Monday through Thursday 8:30-5:30, Fridays from 9:00-1:00 and one Saturday a month (except in July and August). Responsibilities
· Greeting patients.
· Answering, screening and transferring calls with professionalism and excellent customer service. Takes messages and follow through to make sure messages are received.
· Sorting, distributing and sending out mail.
· Scheduling patient appointments in office and over the phone. Confirming and rescheduling patient appointments.
· Documenting: Invisalign cases that are received, communication with patients about instructions given over the phone, financial matters and attempts in contacting patients to make appointments.
· Collect payments
· Preparing financial contracts and informed consents for patients to sign.
· Entering new patient information.
· Organizes office contests and promotions.
· Inventory for office supplies that need to be ordered.
· Responds to emails.
· Communicates with Doctor about preparing treatment plans for cases
· Assists with special projects as needed.
· Organizes work area.
· Compliant with HIPPA guidelines.
· May perform other duties not specifically listed in this job description as requested by the manager.
· Maintains cleanliness of reception/waiting area.
Job Requirements:
· A high school diploma, or equivalent.
· Must be well organized and have incredible attention to detail.
· Strong verbal and written communication skills;
· Excellent ability to manage oneself independently.
· Works well with co-workers and open to feedback and positive changes.
· Ability to handle multiple tasks with grace and efficiency.
· Must be professional, caring and empathetic, prompt and on-time, possess a high level of self-motivation, and have a strong work ethic;
· Flexibility with adding days to the work schedule when Montgomery County schools are closed or when the doctor takes vacation.
