Patient Care Coordinator
Job Summary: Our small team is in need of a Patient Care Coordinator, where you'll be the crucial link between our clients and our therapy services. We're seeking a proactive and compassionate individual to provide exceptional customer service while efficiently managing scheduling and administrative tasks. Your contributions will ensure smooth operations and an outstanding experience for our clients.
Key Responsibilities:
- Coordinate/schedule appointments for therapy sessions, optimize therapist schedules and consider client needs.
- Manage the front desk and greet clients warmly, both in person and over the phone, and assist with inquiries and appointment scheduling.
- Assist patients with checking in and out for scheduled appointments, including collecting copays and coinsurance payments at time of service.
- Maintain an accurate and up-to-date appointment calendar.
- Provide clear and timely communication to clients regarding appointment reminders, schedule changes, and therapy-related information.
- Telephone for transportation services or family members when necessary for transportation.
- Assist with administrative tasks such as filing, data entry, and maintaining client records in compliance with confidentiality policies.
- Assist with insurance verifications and prior authorizations, as well as obtaining referrals and prescriptions as needed.
- Collect client payments, verify insurance information, and assist with billing inquiries as needed.
- Maintain a clean and organized front desk, reception area and clinic, ensuring a welcoming environment for clients and visitors.
- Collaborate with therapists and support staff to address client needs and ensure seamless coordination of services.
- Handle client concerns and inquiries with professionalism and empathy, escalating issues as necessary to ensure resolution.
- Attend monthly meetings and client support groups as needed.
- Data entry into CRM and EMR as needed, utilizing systems to ensure prompt Patient Care.
- Maintain HIPAA compliance in all activities, ensuring patient confidentiality.
- Assist with HBOT treatment sessions as needed.
- Other receptionist, front desk or scheduling duties as required.
Required Skills/Abilities:
- Strong interpersonal and communication skills, with a friendly and professional demeanor.
- Empathy and patience in dealing with clients and their families, personable and warm demeanor.
- Excellent organizational abilities and attention to detail.
- Ability to work independently and take initiative when tasks need to be completed.
- Strong sense of urgency when working on time sensitive tasks.
- Proficiency in computer skills, including scheduling software, Google Drive and other Google Workspace applications.
- Knowledge of medical terminology and experience in a healthcare or therapy setting is preferred.
Education and Experience:
- High school diploma or equivalent required.
- Prior experience in receptionist or scheduling roles preferred, particularly in a healthcare or therapy environment.
- Familiarity with medical billing procedures and insurance verification is a plus.
