We are seeking a highly organized and detail-oriented individual to join our team as a Patient Care Coordinator. As a Patient Care Coordinator, you will play a crucial role in ensuring the smooth operation of our busy plastic surgery practice. This position requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will possess excellent communication skills, a customer-centric mindset, and a passion for helping patients navigate their cosmetic surgery journey. The ideal candidate will demonstrate strengths in the following areas:
Sales - Support potential patients in making informed and confident choices regarding non-surgical services through in-depth phone discussions and personal consultations. The role requires dedicating 4-5+ days per week to sales activities, including lead generation and other sales-related tasks. Proficiency in providing quotes and guiding patients through procedures ranging from hundreds to over twenty thousand dollars is essential.
Marketing - Occasionally contribute to organizing promotional events to showcase services. Willingness to assist with event setup, logistics, and active participation in sales efforts, as well as occasional community outreach to boost referrals.
Organization - Strong task management skills, timely completion of assignments, and a proactive approach to handling hundreds of patient interactions weekly are vital.
Positivity - We prioritize Patient Care and seek a cheerful, drama-free, and humorous demeanor. A sales-oriented "whatever it takes" attitude is essential. The Patient Care Coordinator will report directly to ownership and the office manager.
Duties
- Greet and check-in patients upon arrival, ensuring all necessary paperwork is completed
- Schedule patient appointments and follow-up visits, coordinating with healthcare providers
- Answer phone calls and respond to patient inquiries in a professional and courteous manner
- Maintain patient records and update information as necessary
- Verify payment methods and assist patients with billing questions or concerns
- Coordinate referrals to specialists or other healthcare providers as needed
- Assist with medical administrative tasks such as filing, faxing, and scanning documents
- Serve as the primary point of contact for patients, providing exceptional customer service and support throughout their treatment process.
- Provide coverage for staff that is on vacation, or on leave within scope of work.
- Schedule patient consultations, surgeries, and follow-up appointments, coordinating availability with surgeons and clinic schedules.
- Conduct initial patient consultations, explaining procedures, discussing treatment options, and answering questions about the surgical process.
- Ensure treatment plans align with patient goals, medical history, and cosmetic procedures available.
- Collect and verify patient information, including medical history, payment details, and consent forms, ensuring accuracy and completeness.
- Coordinate payment processes, including collecting deposits, arranging financing plans, explaining practice policies, and explaining billing procedures.
- Coordinate pre-operative and post-operative care instructions with patients, including medication management, appointment reminders, and surgical preparation guidelines.
- Collaborate with the surgical team to ensure smooth transitions of care and optimal patient outcomes.
- Maintain patient confidentiality and adhere to HIPAA guidelines at all times.
- Maintain accurate and organized patient records, including medical history, treatment plans, and patient paperwork needed.
- Maintain accurate and organized appointment records including appointment bookings, treatment conversions, and sales pipeline data.
- Schedule consultations, procedures, and pre-operative visits for patients.
- Coordinate with the clinical team/management to ensure inventory of cosmetic products and supplies is current, ensuring availability when needed for booking appointments.
- Assist in the preparation of marketing materials and promotional events.
- Stay updated on industry trends, new cosmetic procedures, and advancements to provide accurate information to patients.
- Confirm appointments scheduled for treatments and consultations.
- Ensure compliance with HIPAA regulations and maintain patient confidentiality
Skills
To be successful in this role, you should have the following skills:
- Proficiency in medical terminology and understanding of medical office procedures
- Experience working in a dental office or medical administrative support role is preferred
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Attention to detail and accuracy in data entry and record keeping
- Ability to multitask and work well under pressure in a fast-paced environment

This position allows for uncapped commission growth potential with the opportunity to add an additional $30,000+ to base pay on commissions annually.
