Job description

Patient Care Coordinator Required to Join Veterinary Specialty Hospital Team in South Florida!

Considering the next step in your career? Would you appreciate a workplace that promotes education, mental health, wellness, inclusivity, and diversity? Are you looking for an organization with a clearly defined purpose, mission, and set of values? Are you really good at explaining complicated things in simple terms so everyone understands? Are you an empathetic person who is patient, but also confident in their work so people trust you and follow your advice? Do you value growth, availability, teamwork, integrity, accountability, excellence, and compassion?

About Us

Southeast Veterinary Neurology (SEVN) is one of the United States’ largest independently and veterinarian owned neurology groups. Neurology isn’t just something we offer. We are a single-specialty practice exclusively treating diseases of the brain, spinal cord, nerves, and muscles all day, every day.

Our mission is to keep families together by providing second chances to pets with neurological disease and hope to the people who love them through compassionate neurological care to patients, empathetic service to pet parents, and humble expertise to the veterinary community.

Over the next decade, our goal is to keep 70,000 families whole, ensuring their beloved pets not only survive but thrive despite neurological disease; provide the ultimate workplace experience for our team, being known for our culture of growth, collaboration, and support; and become the undisputed leader in veterinary neurology, pushing the boundaries of our field and redefining the standards of care.

This is where you come in. To help us accomplish our mission and goals, we are looking for talented, motivated, and humble team players to join

About You

Are you self-driven and eager to get things done, yet patient and methodical? Do you hold yourself to a high standard and take pride in your attention to detail? Do you welcome feedback and direction and relish in information and learning? Do you want to pet all the dogs and cats?

If you find yourself answering yes to these questions, consider SEVN as the next step in your career.

We are seeking an individual with unique abilities to assist us in effectively communicating with our valued pet parents, ensuring that they are equipped with all the necessary information to make informed decisions for their pets. As such, you will possess a special aptitude for empathizing and providing compassionate customer care.

A significant aspect of your success will rely on your exceptional communication capabilities, encompassing active listening, appropriate questioning, effective verbal expression, and adapting the way you communicate important information to varying audiences.

The role also requires strong written communication skills, including the ability to write well, with proper grammar and punctuation, and to succinctly summarize information and actions. Given your commitment to excellence, you will appreciate the importance of this requirement.

In this role, you will have the opportunity to work with various clients and tackle a diverse range of challenges. It is crucial to possess strong organizational skills, and the ability to work efficiently and prioritize tasks effectively. By doing so, you will be able to meet deadlines and ensure client satisfaction. Therefore, excellent communication skills are essential to effectively manage expectations for everyone involved.

While this position is not a sales role, it does involve key responsibilities such as maintaining service knowledge, answering client inquiries, allaying client concerns, addressing client objections, navigating price and payment discussions, and managing a wealth of data. As a result, we are seeking an individual who is comfortable and adept at handling these aspects of the role. It is important to acknowledge that MRIs and surgical procedures are costly and require significant financial investment, and engaging in conversations about these expenses can be challenging. We need a confident yet compassionate advocate for our services. When handled appropriately, pets receive not only the necessary care they need but the absolute best care they deserve.

Collaboration and cooperation are integral aspects of our work. Every team member holds equal significance in contributing to the delivery of care and successful outcomes for our patients. You assume responsibility for your work, you remain accountable, and you value and maintain your commitments. You possess strong attention to detail and are highly dependable in ensuring that follow-up calls or messages to clients or colleagues are not overlooked.

You’ll generally hold yourself to professional standards in all areas of your life for example in dress and presentation, honesty, work ethic, and helping others around you to succeed.

About the Role

Because we are single-specialty, things are much more orderly and less chaotic than other hospitals. This gives us the opportunity to train you intensively and you the chance to get really good at what you do.

Most importantly, the work you’ll do at Southeast Veterinary Neurology matters, because we do amazing things, like help paralyzed pets walk again!

We are currently seeking a Patient Care Coordinator to join our team and collaborate with our clients, medical professionals, and referring practices to enhance the hospital's growth, reputation, and influence within the pet and veterinary sectors. The responsibilities of the Patient Care Coordinator include, but are not limited to:

  • Ensuring clients have all the information needed to make the best decisions for their pets.
  • Facilitating in-depth pre-consultation via phone with clients
  • Meeting prospective clients in person for consultations on case details and expectations
  • Answering any client questions via phone or email
  • Following up with clients to make sure they attend appointments or scheduled procedures
  • Assisting with scheduling procedures, presenting pricing, and assisting with financial matters as necessary
  • Serving as a liaison to referral veterinarians in managing the case and flow of information
  • Contributing to the management of complex data
  • Occasionally working with the marketing team to create and execute events geared toward providing education to the referral veterinarians
  • Working in the hospital or remotely as circumstances demand
  • Saturday and Sunday are required work schedules for this role

Many of our Patient Care Coordinators work remotely, we see this as likely to continue. So if you need to be working in an office alongside others all day long and cannot work well on your own, then this might not be the right role for you.

  • All candidates must live in the South Florida region and must train onsite at one of our South Florida locations for a minimum of three months.

The Compensation Package

Our generous compensation package includes:

  • Competitive Pay (based on experience)
  • 401K retirement plan
  • Health Insurance with Dental and Vision Options
  • Flexible Spending Account (FSA)
  • Short-term Disability, Accident Insurance, and Hospital Indemnity
  • Voluntary Life and AD&D
  • Headspace and Headspace Care membership
  • Continuing Education Stipend and Clinical Tuition Reimbursement
  • Parental Leave
  • Paid Time Off, Sick Time, and 8 Observed Holidays
  • Pet Care Benefits

Your Qualifications:

  • Minimum of two years of Patient Care management experience in a veterinary, dental, or medical environment (we would also consider a client Care Coordinator from a luxury hospitality or automotive background).
  • Bachelor’s degree
  • Track record of hitting targets and evidence of being an exceptional team player in high-performing environments.
  • Experience using medical record software is desirable.
  • Understanding basic medical jargon is also desirable.
  • A love of animals is desirable, but an absolute love of people is completely essential. Please do not apply if you love pets but are not so good with their owners.
  • Bilingual/Multilingual in at least English and Spanish preferred

How to Apply

For all the fancy equipment, facilities, and awards, it’s the work accomplished and culture created by all of the talented individuals at SEVN that really makes us unique. Though what we do is serious business, we also like to have fun. We’re motivated, professional, highly skilled, and tightly knit. If this sounds like the place for you, we’d love to get to know you!
