Join the National Bureau of Asian Research (NBR) as an Office Administrator at our Seattle headquarters. As the Office Administrator, you will be a key player in maintaining the smooth operations of our office, providing crucial administrative support to our Human Resources and Accounting teams. The position is part-time (20-30 hours per week), hourly, non-exempt, position reporting to the Director of Human Resources. This position offers a flexible daytime, weekday schedule to be arranged with the hired applicant. The position is a temporary assignment through 12/31/2024, with the potential to become permanent and/or full-time following the initial assignment.
Responsibilities- Office Support & Customer Service
- Cultivate and support NBR's inclusive and positive office culture.
- Handle general phone and email inquiries, providing exceptional customer service.
- Welcome visitors to the office with warmth and professionalism.
- Support NBR's management, HR, and accounting teams with data entry and other administrative duties and projects.
- Office Operations Management
- Purchase essential office equipment and supplies.
- Manage office key cards and keys.
- Oversee office safety and emergency procedures.
- Handle incoming and outgoing mail with precision.
- Event Support
- Assist program staff in planning and executing external events and meetings.
- Conduct venue research, coordinate logistics, and provide on-site event support.
- Budget Ownership & Vendor Management
- Manage expenses within or under budget, ensuring financial efficiency.
- Serve as the primary contact with building management and external vendors.
- Create and maintain positive relationships with external vendors.
- Support various NBR activities and initiatives as required.
Work outside of regularly scheduled hours may be required in the case of special events or office emergencies - these changes will be communicated with advance notice.
QualificationsWe are seeking a detail-oriented, independent thinker who thrives both independently and as part of a team.
- Associate degree or higher in Business, Accounting, Social Sciences, Humanities, or a relevant discipline.
- At least 1 year of office assistance and/or administrative support experience.
- Proficiency in Microsoft Office programs, including Outlook, Excel, Word, and PowerPoint.
- Exceptional communication skills, maintaining professionalism with a diverse audience.
- A proven track record of superior organizational skills and extreme attention to detail.
- Self-motivated with the ability to work independently and collaborate effectively within a team.

This position is based on-site in our Seattle office. The expected pay range for this position is $20.75 to $23.75 per hour, depending on education level and experience.
This is a part-time, temporary position with the initial assignment ending 12/31/2024, with the potential to become permanent and/or full-time following the initial assignment. NBR provides 10 days of paid vacation per year, 25 paid holidays, up to 56 hours of paid sick leave (calculated at the rate of 1 hour for every 30 hours worked), and 2 days of paid professional development leave. NBR offers a heavily subsidized unlimited ORCA pass to all Seattle staff.
