Administrative Assistant

As our Administrative Assistant, you will play a critical role in supporting our Partners and other professionals, serving as the primary liaison between the Firm, clients, and service providers.

- Adept at managing fluctuating calendars and coordinating logistics for Partners and assigned professionals.
- Skilled in preparing presentations, reports, and other materials, and handling data entry, scanning and storage functions.

- Willing to take on new challenges and exhibit leadership skills.
Key Responsibilities:
- Prepare client invoices for Partner review.
- Oversee vendor and accounts payable functions.
- Proactively manage Partners' calendars and travel arrangements.
- Prepare materials for presentations and meetings.
- Communicate with clients and draft, edit and proofread business correspondence.
- Manage time and expense reconciliations for Partners and assigned professionals.
- Assist with engagement and Firm administration, including preparing client acceptance packages and engagement letters.
- Maintain the firm’s engagement management system and assist with deliverable planning and deadlines.
- Handle other duties and special projects as assigned.
Qualifications:
- Bachelor's degree or equivalent experience preferred; high school diploma required.
- 3+ years of experience in similar role, preferable in executive support.
- Highly detail-oriented with a strong sense of confidentiality and discretion.
- Excellent office and interpersonal skills, with the ability to think critically and creatively.
- Proficient in QuickBooks Online, Microsoft Office (Word, Excel, PowerPoint, Outlook and SharePoint) and able to learn new software quickly.
- Ability to travel 5-10% of the time as needed.
- Willingness to work flexible hours during busy times.

Job Type: Part-time
Pay: $15.00 - $18.00 per hour
Expected hours: 15 – 30 per week
