Title: Operations Manager

Reports to: Founder & Executive Director

Location: Remote; Cleveland / Northeast Ohio candidates preferred; Must be legally authorized to work in the US

Job Description: We are seeking an experienced and dynamic Operations Manager to join our team.

This manager will be instrumental in overseeing the organization's operational and financial processes. This includes serving as the primary point person with our fiscal sponsor's finance department, supporting fundraising, grant reporting and management, and database management. You'll also work closely with our programs team to support communications and marketing, invoicing, data tracking, and other needs as they develop.

Listed below are the essential roles and responsibilities for this position. As a young growth-stage organization, these responsibilities are expected, within reason, to shift, change, adapt, and grow over time. Candidates for this role will show readiness to build in a new sector; ability to contribute your voice, knowledge, experience, and strategies; an entrepreneurial mindset ready for experimentation; and a track-record of independent, proactive project management skills and capacity. The ideal candidate will be a strategic thinker with a background in finance, data analysis, and operations who is eager to contribute to a growing organization centering holistic values-driven wellness across the Jewish community and beyond.

Key Responsibilities:

Operations and Management (25%)

  • Create and implement standard operating procedures across the organization;
  • Support hiring process for job candidates as organization grows;
  • Support staffing and HR-related functions including updated systems for tracking working hours, vacation, sick leave, and other PTO; implementation of employee handbook; building and enhancing the organization's benefits package.
  • Drive continuous improvement and optimization of organizational processes.

Finance and Budgeting (25%)

  • Act as the primary liaison with our fiscal sponsor's finance department;
  • Oversee budget reporting, tracking of payments (incoming and outgoing), cash flow management, and invoicing;
  • Develop and implement financial strategies and processes to improve efficiency and accountability;

Fundraising and Donor Management (25%)

  • Assist in fundraising efforts, including research on the field, foundations and individual donors.
  • Manage and maintain the individual donor database, ensuring accurate and up-to-date records.
  • Support the development and execution of fundraising strategies and campaigns.
  • Provide support in grant tracking and grant reporting, including managing deadlines, establishing processes, and ensuring compliance with requirements.

Program Tracking and Development (15%)

  • Monitor and track program areas, supporting data analysis in alignment with organizational goals and objectives;
  • Track, analyze, and improve key performance indicators (KPIs) to ensure organizational efficiency and effectiveness;
  • Manage data flow between individual programs / departments and overall organizational budgeting, cash flow, program expenses, faculty/teacher payments, and restricted funding requirements;

Technology and Tools Management (10%)

  • Manage and oversee the use of organizational tools and software, including:
    • Work across existing platforms (Google Business Suite, Slack, Zoom, Mailchimp, Hootsuite, Dubsado, Motion);
    • Research, recommend, and implement new platforms for internal communications, project management, donor database / stewardship, donations, and client management;
    • Work closely with program team to research and implement public-facing platforms for membership, online learning, communications, and engagement;
  • Leverage technology to enhance program and operational efficiency;
  • Provide marketing and communications support as needed;

Important Skills, Training, and Experience:

  • Bachelor's degree or equivalent work experience in Business Administration, Management, Finance, or related fields.
  • 3-5+ years experience in operations management, finance, or related fields.
  • Proven track record of independent, proactive project management and execution.
  • Demonstrated experience with and/or ability to learn and apply skills and knowledge relating to the job responsibilities outlined above;
  • Excellent organizational, leadership, and decision-making skills.
  • Proficient in working with GoogleSuite (docs, sheets, forms) and/or Microsoft Office Suite, Mailchimp, and donor database, accounting, project management, and CRM platforms.
  • Set priorities, work independently, multi-task with regular interruptions, problem solve, delegate tasks as appropriate, and coordinate projects successfully.
  • Strong communication skills, both verbal and written.
  • Work effectively in both in-person and virtual environments
  • Work efficiently across time zones primarily across the US, and on occasion outside the US

Compensation and Benefits

Hours and Wages

  • This is a full-time exempt position with paid vacation and sick time;
  • Salary Range* $45-50K commensurate with skill and experience;

*This is not a guarantee of compensation or salary. A final offer amount may vary based on factors including but not limited to experience and geographic location.

Location

Mitsui Collective is currently a remote work environment based in Cleveland, OH. Staff should expect to convene a minimum of 3-4 times per year in person as a full team. Other virtual and in-person arrangements will be determined between the employee and supervisor. Additional work travel may be required on occasion.

Typical Working Conditions and Essential Physical Tasks

This position will work inside an office environment, as well as indoor and outdoor venues on occasion. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. PTO and Additional Benefits

  • Mitsui Collective office is closed for most Federal and Jewish holidays. Time off for office closings is not counted against an employee's personal time off.
  • Starting employees accrue up to 15 paid vacation days a year and up to 30 sick days
  • Employees are eligible to receive a taxable healthcare stipend;
  • Paid parental leave policy;
  • Semi-annual tech & workspace stipend is available;
  • Flexible work schedule available, with expectations agreed upon in discussion with the employee's supervisor;
  • Professional development funds are available;

Additional interview rounds may be requested with Mitsui Collective staff and/or lay leadership. All candidates invited to round two (and beyond) who do not receive a job offer will receive a $180 honorarium in appreciation of the time, effort, and energy involved in this process.
