The Cat Clinic of Asheville is continuing to grow and we are searching for an experienced veterinary professional to join our management team. The Operations Manager will perform a wide range of complex administrative activities related to providing quality patient care and excellent client service, financial book-keeping, assisting with marketing and promotion of services, staffing and human resources, and discretionary activities that serve to support effective operations of the clinic. The Operations Manager will work directly with the Practice Owner and Office Manager as part of the management team as well as work alongside the clinic staff.

In order to be an effective leader and teammate, the Operations Manager will be expected to work at least 2 shifts per week as a technician or receptionist in the practice so that they are fully immersed in the day-to-day operations of the practice.
Once well established in the practice, the Operations Manager may be able to perform some duties from home in a hybrid on-site and remote schedule.
Education and Experience:
- College degree preferred
- Minimum of 5 years’ experience in a veterinary clinical environment required
Knowledge, Skills and Abilities:
- Customer service experience, including handling of disgruntled customers
- Understanding of the business and financial aspect of a veterinary practice
- Some knowledge of sales and marketing techniques including social media
- Excellent communication skills, both written and oral
- More than proficient in using computers, veterinary practice management software, and Quickbooks
- Ability to plan, organize and effectively present ideas and concept
- Ability to take information obtained from clients, staff, and other sources, discern what is credible and assess the practice and its operation objectively
- Must be able to handle multiple tasks at once, and deal with high levels of stress in an environment of changing priorities
- Be able to make tough decisions and stand by them
- Be open to feedback and willing to make changes when necessary
- Be decisive and have the ability to think on your feet
- Be able to inspire and motivate employees
Authority:
- Assist in interviewing, hiring, and training of new employees
- Assist in management of staff under supervision of Practice Owner including some disciplinary action (not to include dismissal of staff)
- Once trained, make decisions regarding management of client expectations, including dismissal of problematic clients when appropriate
Physical Requirements:
- Dependable attendance on a set weekly schedule is required
- Must be able to lift 40 pounds and repeatedly navigate up and down stairs
- Must be willing to work long or irregular hours on occasion
- This position requires the ability to walk, bend, stand and reach constantly during a minimum 8-10 hour day.
- Visual acuity sufficient to maintain accurate records; recognize people and understand written directions.
- Ability to speak and hear sufficiently to understand, give information in person and over the telephone.
- Fine motor skills adequate for handling patients, collecting medical samples, and utilizing office equipment
Duties:

- Assist in hiring of new staff, in conjunction with Practice Owner and Office Manager.
- Train, educate, develop (as well as work alongside) clinic staff
- Assign job responsibility to each staff member as needed
- Supervise staff to assure that each job is being effectively handled, assist staff as needed
- Clinic policy and protocol enforcement
- Monitor employee competence and effectiveness
- Assist as needed with client flow to ensure that clients and patients are seen and treated in a professional, timely and competent manner
- Responsible for administration and review of client complaints in conjunction with Office Manager
- Assist in maintenance and upkeep of management software and equipment such as laboratory machines
- Oversee collections of past due accounts in conjunction with Office Manager
- Oversee billing, calculation of employee discounts and other special accounts
- In conjunction with Practice Owner and Office Manager, modify and update systems and procedures wherever needed to better serve clients, patients, the practice and employees
- Update inventory and ordering system and assist with ordering of medical supplies
- Meet with the Practice Owner and Office Manager at least monthly to discuss, evaluate and plan for the welfare of the practice
- Help to design and implement marketing and client educational events
- Motivate and encourage staff to function at the best of their abilities
- Check all transactions for accuracy and missed services through occasional audits
- Ensure that the OSHA/Safety and Radiology Safety programs and procedures are being continuously monitored, updated and reported so the clinic is in safety compliance
- Enter all practice A/P transactions and deposits into QB and reconcile QB at the end of each month
- Along with Practice Owner and Office Manager, periodically review fee schedule for services, products, and increases or changes as necessary
- Oversee the maintenance/housekeeping of the hospital for orderliness and cleanliness of both the inside and outside of the building
- Monitor staff janitorial responsibilities
- Organize monthly staff meeting agenda in conjunction with hospital management team
- Read and respond to all communication in a timely manner
- Help ensure that policies, guidelines and recommendations are quickly communicated to clinic staff and adequate training follows
