Position Description
Acting as a trusted partner, the Operations Manager will work closely with and provide direct support to the CEO of U.S. Soccer. The Operations Manager will manage complex executive movements, deliver real-time internal and external communications support, travel and participate in executive meetings alongside the CEO, and be a strategic administrative resource for a diverse and exciting range of executive projects.
As a member of the Strategy Team, a successful candidate is poised, professional, extremely detail-oriented with strong communications skills and the ability to problem solve, make judgment calls, and move quickly. Relevant prior experience would include success in a fast-paced environment with high-touch administrative and logistic responsibilities, and a proven ability to interact and positively partner with key stakeholders at all levels.
This is a dynamic role offering a direct impact and experiences around the highest priority activities at the Federation. With this, the role will require frequent travel, likely 50% to 75% of time.
Core Responsibilities
- Serve as a trusted partner to the CEO; travel with and participate in formal and informal executive-level meetings and events.
- Ensure the CEO is fully prepared and advised on schedule, meetings objectives, key messages, attendees, and necessary movements.
- Administer real-time follow-up activities and communications on behalf of the CEO; draft, update, prepare notes, reports and correspondence.
- Oversee the CEO’s on-the-ground administrative and operational needs, including supporting travel logistics.
- Align internal administrative processes to ensure seamless administrative support in all settings. May include managing Executive Assistant.
- Support in scheduling to strategically maximize the CEO’s time and impact, both internally and externally; identify upcoming events and milestones to engage in.
- Support in the management of an active database of stakeholders and stakeholder information relevant to CEO activities.
- Work collaboratively with executive and administrative teams and build trusted relationships throughout the organization.
- Demonstrate confidentiality and sound judgement at all times; positively represent U.S. Soccer and the CEO.
Minimum Qualifications
- 2-4 years experience with senior executive(s), organizational leaders, or key stakeholders in a fast-paced environment
- Able and willing to travel, nationally and internationally regularly (50% to 75% of time); ability to work non-standard hours, including nights and weekends.
- Strong, clear, articulate communication and writing skills; ability to communicate complex ideas easily
- Professional presence and demonstrated interpersonal skills to work with people from all backgrounds and in all settings.
- Extraordinary attention and commitment to detail
- Able to stay calm under pressure and work on short deadlines
- Exceptional organizational skills, with the ability to evaluate, prioritize, balance, and easily switch between multiple tasks or needs
- Strong judgment and ability to problem solve and make decisions quickly
- Uncompromising ethical standards, trustworthy, and demonstrated ability to maintain confidentiality.
- Strong time-management skills with ability for quick responsiveness
- Demonstrated fluency on Microsoft Word, Outlook, Excel and Power Point.
- Bachelor's or advanced degree with an excellent academic record
- Prior experience in relationship-building and high-touch stakeholder support.
- Demonstrated passion for soccer
Preferred Qualifications
- Fluency in a foreign language a plus
- Based in NYC or other major market
