OPERATIONS MANAGER
JOB SUMMARY
Proctors Collaborative is the Capital District’s leading regional arts organization with performing arts venues in Albany, Schenectady and Saratoga, and education, civic engagement and economic development initiatives throughout the region. We’re changing expectations about how the arts serve a community.
Proctors Collaborative seeks an Operations Manager for Capital Repertory Theatre to join its Operations team to serve in a professional, front-line position. This is a full-time salaried position, that requires a flexible schedule, including evenings, weekends, and occasional holidays.
ESSENTIAL DUTIES & RESPONSIBILITIES
Audience Services Management
Assist in the development and implementation of procedures to improve patron experience
Train and schedule Ambassadors in conjunction with partners for all performances and events
Oversee parking attendant, payments, and lot use for patrons
Hire, train, and supervise house managers for all performances and events
Hire, schedule and oversee paid bartenders
Front of House Management
Be present for and/or schedule per diem house managers for all performances and events
Manage volunteer team for each performance
Upkeep cleanliness and tidiness of lobby and front facing areas
Coordinate operation of facility during each performance (heating/cooling, lighting, etc.)
Provide high quality, individualized customer service for patrons
Communicate with patrons to resolve seating and other concerns that may arise
Volunteer Management (in coordination with the Community Engagement Liaison)
Create, maintain, and update volunteer staffing for each production
Produce and manage volunteer renewal packages every spring
Maintain database of volunteers for each season
Receive, process, and confirm volunteer renewals and first-time registration
Schedule and lead volunteer orientation sessions before each season
Assist volunteers in rescheduling if necessary
Concessions Management
Manage inventory and sale of concession items
Handle deposits for each performance according to direction from Finance department
Facility Management
Coordinate with maintenance and housekeeping departments to ensure a safe and healthy environment for all staff, patrons, and visitors
Oversee security systems, protocols, and policies regarding the theatre
Coordinate facility supplies ordering with Housekeeping Manager
Hire, train, and manage housekeeping staff
Oversee care and use of employee and patron parking lot
Special Events & Rentals Management
Cultivate relationships with local businesses for special events
Assist other departments in staffing, setting up, and running special events
Coordinate all aspects of rentals with clients and appropriate internal departments
POSITION QUALIFICATIONS
Excellent customer service skills and a genuine desire to accommodate patrons and internal client needs
Ability to problem solve and make quick, intelligent decisions
Must be diplomatic sensitive to the needs of our patrons and our neighborhood
Proficient in computer usage and interest and ability to learn database programs
Excellent skills in managing several responsibilities at once in a high paced environment
Must be self-motivated and take initiative
Ability to approach all work with a professional demeanor and appearance
Team player able to work well with others, at times in a stressful environment
PHYSICAL DEMANDS
Must be able to appropriately bend and lift up to 40 pounds
Requires ability be on feet for extended amounts of time
