The primary goal for this position is to provide the CEO and team members of Cross Shield with overall operational support.
The Operations Manager empowers the CEO and Cross Shield team members as a proactive problem solver, with exceptional communication skills and meticulous attention to detail. The Operations Manager will strive to anticipate needs and reduce friction at work and home whenever possible. Candidates will have previous successful experience working in-person and in a virtual team environment.
This position is a part-time role with increased hours, requiring availability of thirty plus (30+) hours per week, preferably day time. The position is as an independent contractor. This position requires that the candidate be available during standard business hours and in communication with the team daily.
This position requires that the candidate have proven and successful experience with digital marketing, social media posting, analytics and marketing strategy.
JOB DESCRIPTION
- Communicating on the CEO’s behalf both internally and externally
- Email and calendar management of multiple inboxes, including corresponding on behalf of the CEO
- Attend in-person and/or virtual meetings per week, currently 2 per week up to 2 hours.
- Complex calendar management and scheduling (both personally and professionally) on behalf of the CEO and coordinating with the Cross Shield team.
- Varying personal and professional administrative tasks including, but not limited to, booking business and personal appointments, research projects, coordinating travel, and client scheduling coordination.
- Be actively involved in the company’s digital marketing strategy including developing the marketing strategy, posting to social media, analytics assessment, etc.
DUTIES
- Assist with developing and improving client workflows amongst the team
- Assess the client onboarding process and identify areas for continual improvement and enhanced client experience.
- Assess the coaches onboarding process and identify areas for continual improvement
- Assess the client engagement experience and identify areas for improvement
- Assess the current platforms used in the business for recommendations in efficacy and efficiencies for the company
- Gmail and Google Calendar
- Monitor email communication for the team and respond to all communications within 24 hours based using a sense of urgency.
- Slack
- Electronic communications amongst the team members and across specific channels
- Hubspot
- Input and update data into the platform based on the client and coaches’ needs.
- Keep Hubspot updated and remind coaches of their tasks, etc.
- Zoom
- Monitor the platform for Recording Management and move those recordings to the appropriate Google Drive folder and notify the coach of the moved recording
- CoachAccountable - The Coaching Portal
- Assist the coaching team with managing the client engagement process and the needed resources for the platform.
- Calendly
- Understand how to navigate within the Calendly scheduling platform and assist the team with updating event types and assisting with scheduling needs for leads, prospects and clients
- Google Workspace
- Understand how to navigate within the Cross Shield Google Workspace including but not limited to adding and deleting users and assigning roles to team members.
- Quickbooks
- Understand and use the Quickbooks platform for such tasks including but not limited to adding new clients, inputting invoices, applying payments, categorizing transactions and paying clients and team members.
- Other platforms as implemented
- Assist with scheduling client meetings
- Provide support for the Cross Shield coaches
- Special projects as assigned

- Proficiency in project management and organizational software/tools
