Position Summary
The College of Business at Metropolitan State University of Denver is seeking an Operations and Events Coordinator. This position works on the College of Business (CBUS) administrative support team to 1) handle all financial expenditures and budget management aspects related to the academic centers housed within CBUS, 2) coordinate and support all events related to the academic centers housed within CBUS, 3) provide CBUS level budgetary and accounting support, including assisting with purchasing, payroll, expense reporting, and budget reconciliation for CBUS level expenditures, and 4) provide support for CBUS level events and programs administered by CBUS Dean's Office. The Operations and Events Coordinator reports directly to the Dean and will initiate best practices associated with all administrative initiatives to enhance department functioning.
The Operations and Events Coordinator will provide comprehensive administrative and support services to faculty, staff, students, visiting scholars, and the various entities (departments, institutes, centers, and programs) that comprise the College of Business. The coordinator will assist with the fiscal resources, administer University policies, and provide data and reports to internal and external groups. This position will also organize and analyze data to support effective decision making around budget allocation, facility use, and program promotions.
Responsibilities
Event Coordination and Planning for College of Business (35%)
Organize meetings, special events, and other activities for the academic centers in CBUS, with a focus on organization and professionalism. In consultation with event director, handle selection of vendor, vendor-relation management, and invoicing and payment arrangements. Specific duties may include but are not limited to:
  • Room reservations
  • Catering
  • Local transportation
  • Travel/ flight arrangements
  • Hotel reservations
  • Vendor contracts
  • Invoice/ payment arrangements
  • Communication with participants
  • Decorations, invitations, agendas, promotional items, minutes, tech support, and all logistical details
  • Coordination of student and faculty travel to external events

Budget, Data Management, and Analysis (35%)
For all academic centers, in collaboration with unit directors, forecast budget needs and interpret budget-related information and materials. Ensure current fiscal year expenditures do not exceed allocation. Process all paperwork for procurement, including signature authority in a timely manner. Specific duties may include but are not limited to:
  • Forecasting office budget
  • Ordering office supplies. Tracking office expenses
  • Managing pro-card use and reconciling pro-card statements
  • Processing all paperwork for procurement, invoice payments, and check requests
  • Tracking faculty professional development funds and providing budget summary
  • Managing faculty international travel insurance
  • Tracking grants project funds
  • Processing visiting scholars' contracts and salary payments. Processing guest speakers' s honoraria

Budget Support for College of Business (25%)
Assist in forecasting budget needs and interpreting budget-related information and materials. Ensure current fiscal year expenditures do not exceed allocation. Perform Other Duties as Assigned (5%)
Job Knowledge, Skills, and Competencies
  • Ability to quickly prioritize, adapt to changing priorities, handle multiple tasks simultaneously and efficiently, and meet competing demands for information and services with a high attention to detail and in relatively short time spans
  • Ability to build positive relationships and demonstrate commitment to collegiality and mutual respect
  • Intermediate-level proficiency with the full Microsoft Office Suite, including Teams
  • Strong work ethic, initiative, and accountability

Required Qualifications
1. Bachelor's degree or equivalent work experience in a financial and administrative support setting (if you plan to use the equivalence option to establish qualified status, please note that one year of education is equal to two years of experience)
2. Work experience providing the following:
  • Administrative support (e.g., office management, data management, record keeping, customer service, event coordination, etc.)
  • Experience with budgets, finance, purchasing, and/or accounting
  • Intermediate proficiency with Microsoft Excel, including formulas and pivot tables

Preferred Qualifications
  • One year experience with budgets and/or accounting
  • Demonstrated ability to give attention to detail in maintaining clear and complete fiscal records
  • Experience with Banner forms navigation, preferably with Banner Finance forms
  • Experience with Workday
  • Demonstrated strong verbal and written communication skills
  • Experience with university purchasing protocols
  • Ability to work independently and as part of a team
  • Demonstrated ability to act ethically and in compliance with university policies and procedures
  • Previous experience demonstrating the ability to work with and be sensitive to the educational needs of a diverse urban population, including first generation college students and historically under-served populations

Salary for Announcement
The anticipated hiring range for this position is $47,000 - $54,000. The salary of the finalist selected for this role will be set based upon a variety of factors, including but not limited to, internal equity, education, experience, specialty and training.
