Our client is a value-added reseller and full-service distributor of short-run digital label printing equipment. Our company is based in Houston, Texas, and has been in operation for over 20 years. We are seeking an Operations Administrative Assistant to welcome to our fun and growing team.
**Office Location: Northwest Houston near Cypress
**This is an in-office position; no remote or hybrid work
**Compensation: $45,000 - $50,000 DOE

Position Responsibilities

The overarching responsibility of this position is to support the leadership and operations team with administrative tasks, customer service, and general office support. The following is a list of many responsibilities of the role but is not an all inclusive list.
Operations Responsibilities:
- Regularly monitor and reorder, upon approval, bulk inventory based on past sales data (forecasting). Respond to customer order inquiries via email, live chat, or phone calls
- Contact distributors/vendors to make changes to orders, as needed
- Quickly respond to and answer purchase order or shipping questions from distributors/vendors
- Answer purchase order or shipping questions for vendors
- Monitor orders and verify that vendors have entered orders correctly to be processed
- Manage and track RMA’s (returns) from start to finish, communicating general timeline and process to customers
- Enter and make sure all orders have tracking for each item (some orders are split into multiple shipments)
- Monitor package and returns tracking
- Special projects, as needed to support operations
Administration:
- Enthusiastically greet and provide necessary information to office guests and direct them to the proper team member or location in the office.
- Process incoming mail/packages and distribute to appropriate team members
- Provide general administrative and clerical support such as photocopying, filing, scanning, and emailing necessary items
- Set up conference room for meetings, lunches, etc.
- Provide general administrative support to the leadership team
- Assist with documenting department SOPs and ensuring consistent formatting
Education, Skills and Experience Requirements
- High school diploma or equivalent, required
- Ability to confidently and efficiently navigate MacOS, required
- Minimum 2 years of experience in an administrative role with high task management requirements
- Must be extremely comfortable operating on a computer, including advanced typing speed (at least 55 words per minute), toggling between multiple screens and open items, using keyboard shortcuts for efficiencies, etc.
- Experience using Office Applications in Google Workspace such as Google Docs and Google Sheets
- Extreme attention to detail; example: dealing with number sequences, such as order numbers
- Excellent math skills; using tools such as calculators or computer programs is acceptable
- Friendly and people-oriented personality – enjoys interacting with people and professionally supporting others
- Enjoys handling routine or repetitive tasks and working independently
- Excellent communication skills with clearly articulate and professional grammar (verbal and written)
- Must be willing to learn new software and technology
- Excellent organizational skills to maintain order in the office
- Problem-solving mentality to handle issues as they arise
- Ability to remain focused and on task with numerous interruptions throughout the day
Physical Requirements/Working Conditions
- Climate controlled office environment
- Extended periods of time working at a computer and on the phone
- Must be able to sit at a desk for the majority of an 8 hour working day
- Must be able to lift up to 20 lbs., periodically
- Must be able to comfortably and independently stand, walk, reach, bend, stoop, and lift items
- Must be willing to consent to the company’s standard background check and drug screening
