We are looking for a competent Administrative Assistant for our Clinical Operations department to provide secretarial and administrative support in a well- organized timely manner to our COO and Operations department. RESPONSIBILITIES:
- Completes a broad variety of administrative tasks in support to the COO and Clinical Operations department.
- Assist in managing multiple highly active calendars of appointments, review and processing of expense reports, and composing and preparing correspondence that is sometimes confidential. They will be responsible for arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings.
- Facilitate with communication with corporate staff and Executives on behalf of the COO.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the COO, including those of a sensitive or confidential nature. Contributes appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the CEO and COO's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Works closely and effectively with the CEO's Senior EA to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Having a sense for the issues taking place in the environment and keeping the CEO and COO updated.
- Provides support to validate monthly end of month reports for the Operations Department
- Act as a "liaison" for the staff to build relationships crucial to the success of the organization and manages a variety of special projects for the CEO and COO, some of which may have organizational impact.
- Support completion of critical tasks with a proactive mindset, accompanied with a hands-on approach to update and create trackers, spreadsheets, meeting agendas, meeting minutes, and managing other daily tasks that facilitate the COO's ability to effectively lead the company. Prioritizes conflicting needs by handling matters expeditiously, efficiently, and follows-through on projects to successful completion, often with deadline pressures.
QUALIFICATIONS:
- Some college hours required. College degree preferred
- High level of written and verbal communication skills
- Exceptional Organizational skills
- Capability to multi-task and consistently meet multiple deadlines with short notice.
- Capacity to work in a team environment.
- Strong customer-service orientation.
- Ability to use good judgment.
- Ability to work calmly under pressure with tight deadlines.
