JOB TITLE: Office Services Assistant/Backup Receptionist
FLSA STATUS: Full Time, Non-Exempt

REPORTS TO: Office Services Manager
SUMMARY: Performs advanced clerical functions which involves independent judgment and initiative. Perform backup receptionist and conference room/hospitality duties. Make court runs to file legal documents, file legal documents to legal files, and prepare files for outside storage. Photocopy, index, input computer data, and perform other miscellaneous office duties as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Perform backup receptionist duties by greeting clients and answering telephone calls.
Perform backup conference room services and catering duties, including the upkeep of the café, processing café supply orders, and the setup and clean up conference rooms and hotel offices.
Participates as needed in special department projects.
Make court runs to file legal documents with the courts.
Process incoming and outgoing client records.
Organize, assemble, index and file legal documents in legal files.
Look up and follow up on overdue, misdirected or lost files.
Sort and transfer obsolete materials from active files to storage.
Prepare files for offsite storage.
Pick up and deliver carrier packages and lunch orders.
Photocopy, scan, and fax documents.
Pick up heavy bundles of mail, sort and deliver to appropriate parties.

Ability to lift at least 40 lbs.

Ability to meet deadlines and follow through on assignments.
Integrate with and support the entire office services team.
Flexibility and availability for overtime.
Perform other miscellaneous duties as required.
REQUIRED EDUCATION AND EXPERIENCE:
Minimum of three years of general office services or hospitality experience, preferably in a law firm or other professional services setting.
High School diploma or equivalent
SUPERVISORY RESPONSIBILITY: None.
SALARY RANGE: The anticipated hourly salary wage range the Firm reasonably expects to pay candidates for the position of $37.36 to $40.66. The final annual salary wage offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience in the job, type and years of experience in the industry, education, and other factors.
WORKING CONDITIONS: Normal office environment working with computers, phones, photocopiers/printers, filing cabinets and fax machines with little exposure to excessive noise, dust, temperature and the like.
POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time position. Days and hours of work are Monday through Friday, 10:00 a.m. to 6:00 p.m. Evening and weekend work may be required as job duties demand. This is a non-exempt position under the Fair Labor Standards Act.
