Under the supervision of the Staff Services Manager I (SSMI), the Office Technician (Typing) (OT) will perform a variety of office support tasks for the Enforcement and Fleet Section.
The OT must deal tactfully and professionally with the public in person and via the telephone and maintain a high level of discretion, use good judgment, initiative, and independent action while performing a variety of difficult and complex secretarial functions. The incumbent must also have excellent communication, interpersonal, organizational, computer, typing, and grammar skills.
Receive, review and verify mileage, make copies and sent monthly auto logs report to Fleet Unit by the 10th of each month;
Track maintenance of all vehicles for Bureau by reviewing maintenance invoices and follow up with drivers regarding maintenance not completed using an excel spreadsheet;
Review, verify and process all maintenance invoices to Financial Services for payment;
Work with drivers regarding the replacement of tires and processing of said replacements;
Inform drivers of, follow up on and process invoices for payment for SMOG checks for vehicles
Review the Notice of Violation (NOV) documents submitted by Brand Inspectors for completeness;
- Follow-up with the Supervising Special Investigator on any missing information either by phone or in the form of a typed memo;
- Enter the information related to the NOVs into an automated database for record keeping purposes;
Review, compile and process missing, stolen, stray and estray reports once received from brand inspectors;
Review livestock report and documentation, make files and folders on each case, disseminate, and compile to a readable report;
Verify payments received for producers for estray livestock;
