The Opportunity:
The Office Support Assistant provides administrative and customer/client support to the Learning and Organizational Effectiveness team. General responsibilities include assisting with all aspects of preparing for New Employee Orientation; utilizing Workday functions to enter training data and produce rosters and reports; and other duties as detailed below. This position provides an opportunity to gain experience while acquiring knowledge and developing proficiencies within the HR Learning & Organizational Effectiveness environment. Responsibilities:
Customer service
  • Phone: Answer and exercise judgment to forward messages to team members
  • Email: Monitor email inbox daily; respond to messages as appropriate
  • Schedule training rooms where applicable
  • Serve as a greeter for in-person events (e.g., New Employee Orientation and training sessions)

Administrative support
  • Maintain and improve the organization of the training supply cabinets
  • Create standard operating procedures (SOPs)/Desk Guides for administrative tasks
  • Assist with updating documents to be digitally accessible
  • Meeting minutes and distribution
  • Prepare training material, binders, and supplies for classes
  • Inventory

Workday processing
  • Create course sessions, download course rosters, and close out training sessions
  • Monitor and report enrollments for upcoming events
  • Respond to customer/client requests and assist with questions/problems using Workday to enroll in courses, process payments

Additional responsibilities
  • Assist with monitoring and analyzing training metrics
  • Set up training room for scheduled events (configure tables, set out materials, etc.); if food and/or beverages are to be served, ensure they are ready to be put out on the day of the event (e.g., put bottled water in the fridge the day prior)
  • Research and develop curated content on various learning topics
  • Support marketing efforts (proofreading course descriptions, marketing emails, etc.)
  • Assist with maintaining the accuracy of the team website

Minimum Qualifications:
High School Diploma or equivalent and 0+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
Preferred Qualifications:
  • Demonstrated experience using Microsoft Office software (Outlook, Word, Excel, PowerPoint)
  • Demonstrated ability to prioritize and manage time to ensure deadlines are met
  • Positive, professional, customer-focused attitude
  • High level of attention to detail and organization
  • Strong verbal and written communication skills
  • Ability to identify issues and propose effective solutions
  • Familiarity with virtual meeting platforms (Teams, Zoom)
