Fennemore is seeking a full-time full-time Office Manager/Legal Administrative Assistant to join our team. This position is generally onsite at least four days per week, with some remote work possible. The Office Manager/Legal Administrative Assistant is responsible for directing, coordinating, and implementing routine human resources, facilities, operations, and general administrative functions (including administrative support to litigation attorneys) for our Seattle office with an emphasis on ensuring the delivery of superior client service.
Responsibilities:
- Acts as day-to-day Office Manager to the Seattle office;
- Liaising between Management, C-Team, and the Seattle office staff;
- Assisting People Operations/Human Resources department with recruiting, interviewing and training;
- Nurturing a productive office in a respectful environment with a focus on superior client service;
- Performing human resources functions for the Seattle office under the supervision of the Chief People Officer and in consultation with the Seattle Office Managing Partner, including performance evaluations, counseling, discipline, orientation, exit interviews, departure checklists and resource allocation for support staff;
- Coordinating staff skill development through periodic education, training and communications, with focus on superior client service;
- Assisting Seattle Office Managing Partner with analyzing operations budget variances to report to Finance Department;
- Assisting Facilities Manager as needed with coordination of build outs, office moves, lease arrangements and space planning for Seattle office. Also serves as a liaison between the Facilities Manager and building management to oversee the care, maintenance and repair of building-related service items in Seattle office;
- Overseeing workplace safety and security procedures, training and emergency evacuation plans for the Seattle office and acts as Emergency Fire Warden for Seattle office;
- Assisting various departments and attorneys with special event planning for promotional, client development, marketing and in-house training events for Seattle office;
- Coordinating and assisting IT and Facilities Departments with troubleshooting, training, maintenance and technical support for all office and computer equipment and materials;
- Conducting regular staff meetings to review, assess and revise office procedures;
- Drafting legal correspondence;
- Document preparation, compilation and review;
- Interacting with clients telephonically, in-person and via email;
- Handling of general office administrative tasks;
- Adheres to departmental/Firm goals and policies;
- Other duties as assigned.
Requirements:
- 3-5 years human resources, business administration or law office administration experience;
- 5+ year’s legal Administrative Assistant experience in the area of litigation;
- Knowledge of all court rules, deadlines and policies, including e-filing procedures for U.S. District Court, State Courts and Appellate Court;
- Ability to perform basic on-line research, including searching court dockets;
- Ability to prepare a table of contents and table of authorities;
- Strong knowledge of the English language including excellent spelling, grammar, punctuation, form and style;
- Ability to type 70+ wpm accurately;
- Ability to type from dictation, handwritten notes, or verbal instructions;
- Proficient in Microsoft Office (Word, Outlook, Excel, PowerPoint);
- Familiarity with Adobe or Kofax;
- Proficient with DocuSign;
- Familiarity with document management and time entry systems. iManage and Intapp a plus; and
- High school diploma or equivalent.

Salary: $85,000.00 - $95,000.00 per year
