Emma Norton Services works with women, children, and families who are on their journey of recovery from homelessness, mental illness, chemical dependency, and other life stressors. Emma Norton Services provides safe, permanent housing in combination with programs and support services, through a housing first, harm reduction lens under the Sanctuary Model, to provide an environment where victory over homelessness, mental illness, and chemical dependency is possible.
Purpose
The Office Manager/Human Resources Coordinator provides various supportive & functional duties for our offices, as well as being responsible for specific human resource and payroll functions. The position mainly offices out of the main administrative site, but provides support to all sites and programs within the organization.
Responsibilities
1. Office Management:
· Front desk reception at main administrative office, welcoming and directing all visitors in a friendly and professional manner.
· Maintains common spaces.
· Sorts and distributes daily mail.
· Compose and send letters/invoices to all tenants as needed.
· Maintains inventory of supplies and places orders to ensure necessary items remain in stock.
· Coordinates food orders and meeting set up.
· Works as liaison with our IT company and places equipment orders as needed.
· Works as liaison with our Property Manager regarding maintenance and other building/office issues.
· Work as liaison with various other vendors.
· Various other office duties as needed.
2. Human Resources:
· Administers the recruitment process, posting jobs, disseminating resumes and coordinating interviews.
· Perform reference checks, create offer letters and coordinate the onboarding process for new hires.
· Administers benefit programs.
· Process payroll accurately on a biweekly basis and maintain employee records.
Requirements
1. 3+ years of experience in an Office Manager / Admin role & 1+ years of Payroll and/or HR Related Experience
2. Must be proficient in Microsoft 365, Including Word, Excel, Outlook and SharePoint
3. Ability to undergo and pass a background study as detailed in Minnesota Statute 144.057 and Chapter 245C
4. Able to interact with people in crisis in a calm and composed manner
5. Ability to communicate effectively orally and in writing with a willingness to learn and improve
6. Able to maintain professional boundaries, and ask questions for clear understanding
7. Moderate physical effort, with intermittent lifting or carrying limited to no more than 50 pounds
8. Duties may require physical ability to climb stairs
9. Ability to work in a fast-paced environment, while setting priorities as necessary, where interruptions are frequent and switching from one task to another may be needed
10. Must have very good organizational skills
