Job Description

QLabs is seeking an Office Manager/Front Desk Receptionist. Duties and responsibilities including; scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our business. Previous experience as a Front Office Manager or Office Administrator would be an advantage. A successful candidate should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the ideal candidate should be able to ensure the smooth running of the office, help to improve company procedures, and day-to-day operation.

Responsibilities

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly
  • Manage office supplies inventory and place orders as necessary
  • Perform receptionist duties: greet visitors, answer and direct phone calls/emails
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Schedule meetings and appointments
  • Maintain the office condition
  • Organize office operations and procedures
  • Provide general support to visitors
  • Assist in the onboarding process for new hires
  • Liaise with facility management vendors, including cleaning, and catering services

Requirements and skills

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in Google Suite (i.e. Gmail, Calendar, Sheets)
  • Hands on experience with office equipment (i.e. fax machines and printers)
  • Must be a self-starter and driven
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
