Shared Services Manager
Overview:
As the Shared Services Manager, you play a pivotal role in ensuring the seamless operation and success of our clinics. Your responsibilities extend to managing and overseeing critical departments, including intake, release of information, call center, and other Shared Services spread across our clinics. You'll lead a team dedicated to onboarding new patients, ensuring legal compliance in the release of documentation, handling incoming calls, , and future shared service operations. This role is essential in optimizing an environment that upholds our commitment to compassionate care and excellence.
Reports to: Chief Operating Officer
Direct reports: ROI/HIM, Intake Leads, Intake PCCs, Referral PCCs, and Phone Concierge Team.
Collaborators: Director of Therapy Services and Director of Medical Services
Responsibilities:
- Collaborate with regional leadership to support continuous quality improvement related to slot utilization, new patient intake, and new patient phone call handling.
- Manage and oversee the intake department dedicated to onboarding new patients to our practice.
- Lead the Release of Information(ROI) department, ensuring compliance with legal requirements for documentation release.
- Oversee the team dedicated to answering incoming phone concierge calls and ensuring quality service.
- Manage recruiting needs and coordinate with future Shared Services departments.
- Handle patient referral emergencies effectively, monitoring success rates of converting referrals.
- Lead meetings to foster culture, informally consult on cases, and introduce new initiatives and guidelines.
- Conduct focused, constructive consultations and assessments for service improvements based on regulations and quality metrics.
- Ensure compliance with policies and procedures regarding information disclosure.
- Resolve medical record processing errors.
- Ensure the accurate collection and management of patient demographic and episodic information.
- Manage a hybrid medical record system, including proficiency in EHR systems.
- Prepare and index documents in the EHR system, ensuring accuracy and legibility.
- Monitor and track compliance with legal documents and correspondence with stakeholders.
- Serve as the liaison with Legal and Risk teams concerning information releases.
- Monitor quality drivers of the intake, release of information, phone support, and recruiting teams.
- Track volumes of calls, referrals, and ROI requests to ensure operational efficiency.
- Manage relationships with referral partners to enhance the success rates of referrals.
Qualifications:
- 1+ years of operational management within a healthcare setting, with knowledge and experience in clinical operations and information systems.
- Tech Proficiency: Ability to learn and work with various clinical information systems and technologies.
- Client Engagement: Exceptional skills in engaging clients and improving business processes.

Pay: $60,000.00 - $70,000.00 per year
