Job Description: Office Manager
Supervises: 0
Contracted: 12 months, with Summer schedule to be created with the Executive Director.
Purpose: Office Manager maintains the effectiveness and efficiency of the office. Professional who serves as the schools first point of contact, facilitates communication between administrators, teachers, staff and families, and ensures the smooth running of the day to day of the office operations and procedures. Office Manager will handle a wide range of support related tasks as needed.
Duties and Responsibilities:
Screen visitors, telephone calls and emails, directing them to the appropriate person/department.
Maintain, sort and distribute mail, accept deliveries for all orders and distribute orders to appropriate staff/department.
Provide families with appropriate paperwork to add additional authorized pick-ups, change of address, telephone numbers, emergency contact and any new allergies.
Assist with PFSA events and attend meetings.
Coordinates Fall and Spring Picture Dates for faculty and students.
Order Carpool Tags and maintain carpool tag log.
Manage all aspects of the Field Trip, School lunch, and School wide calendars .
Keep times and track of monthly Fire Drills.
Manage initial leave request process, call and schedule all substitutes, assist substitutes with timesheet record keeping and all training.
Administer prescription medications and maintain medication log.
Ensure that students are checked in/out properly, keep abreast of situations concerning court orders.
Distribute all student information updates to the Director of Operations, Executive Director, Grade Level Directors, Teachers, and Before and Aftercare staff.
Keep the Director of Operations up to date on all operational functions of the Main Office.
Participates in meetings, for the purpose of conveying and/or gathering information required to perform job functions.
Requirements:
High School Diploma (Associates Degree Preferred)
Three years of previous office management experience
Strong communication and interpersonal skills with the ability to build rapport with students and families
Knowledge of Microsoft Office

Pay: From $48,391.00 per year
