Glen Park Senior Living, a Premiere Residential Care Facility for the Elderly is looking for a Full Time Front Office Manager
POSITION DESCRIPTION
TITLE: Front Office Manager
DEPARTMENT NAME: Office
REPORTS TO: Administrator
A. DUTIES AND RESPONSIBILITIES
1. Under the direction of the Administrator, Administer the front office in accordance with generally accepted administrative practices.
2. Maintain personnel records and documentation standards called for by Title 22, Title 17, and Company policies.
3. Serve as a Back Up to the Administrator.
4. Monitor Visual Security System and Audio security doors for elopement of residents.
5. Answer to all alarms immediately, and confirm that residents have been assisted.
6. Answer all incoming calls according to company procedures.
7. Physician Visits Form: Complete questions and concerns on this form for physician to review during doctor appointments. Physicians should have a copy of the residents Obtain when resident returns from appointment and file in residents file.
8. Place orders with diagnostic labs for residents if needed and order results
9. File paperwork (incident reports, doctor notes, Foot doctor notes, Psych Doctor notes.
10. Keep all Employee files up to date. (Current ID, Work permit, First Aid & CPR)
11. Submit all incident reports to Administrator to review prior to filing. Fax a copy of reports to (818) 242-3972 daily to Glen Park’s General Office Manager. Residents Hospital Visits must be completed on the “Unusual Incident Report” form, and be submitted to CCL.
12. Check MAR documentation, BM charting, Hygiene Checklist, and 2 Hour Incontinent Checklist daily.
13. Greet all visitors with a smile.
14. Coordinate resident chauffer services within 7 miles. If a caregiver is required to go to an appointment with a resident there is a $25 an hour fee. Inform responsible party and Glen Park’s accounting department.
15. Maintain Order of all front office files
16. Make sure all residents and visitors sign in and out.
17. Make sure all ancillary services are wearing a nametag, document their services, sign in and out, and have signed the Ancillary Service form.
18. Make sure you have inquiry forms, marketing collateral for incoming prospects.
19. Check your email immediately in the morning, mid-day, and before your shift ends.
20. Collect business cards for businesses that come into the facility.
21. Get to know your resident’s medical ailments and medical insurance.
22. If a resident is hospitalized make sure you call all responsible parties, the Administrator, and Mrs. Pink. Document in incident report.
23. Make unusual incident reports if resident is hospitalized or any other special incident
24 Make sure a resident never misses a dose of medication, fax new prescriptions to the pharmacy, and inform the Administrator immediately if there are any concerns.
25. Check the fax machine throughout the day, and always call to confirm that recipient received your faxes.
26. Take messages in the message book.
27. Document daily events in the Communication Log.
28. Completed proper documentation for workers comp injury packet and where to fax it.
29. Know where to send the injured employee.
30. Review Discharge papers and fax to Pharmacy and call to confirmed received.
31. Walk the dining room during lunch time. Check that the kitchen pantry is clean, organized, staff wearing gloves, hair nets, food carts are clean, and kitchen staff is working efficiently and on schedule. Check that all the residents are accounted for, food is served timely, food presentation is good, sample the food, monitor the cleanliness of the floor, and assist if needed w/beverages.
32.To represent the company in dealing with Licensing, in the absence of the Administrator.
33. Meet with Incoming Evening Office Reception to review significant events that have occurred within the last 8 hours. Delegate any tasks that need to be completed.
34. Make sure that the staff is honoring all facility policies and procedures.
35. Make sure residents; families, and visitors are honoring facilities policies and house rules.
B. MINIMUM QUALIFICATION
1. Completion of an approved residential-elderly administrator certification program.
2. Completion of at least 15 college or continuing education units.
3. At least one year’s experience working with individuals with developmental disabilities.
4. Able to pass training in first aid, CPR, and Med Aide training.
C. SPECIAL SKILLS NEEDED TO PERFORM THE JOB
1. Have the personal characteristics, physical energy, finesse, and competence to work effectively with older residents, families, and staff.
D. LINES OF SUPERVISION
1. SUPERVISION GIVEN TO WHOM.
A. Delegate to the Office Manager, Authority:
1. Over the receptionist
2. Over the Janitor
3. Over all staff below Administrator in the absence of the Administrator and the assistant Administrator.
B. Delegates to Medication technician, authority:
1. Over the Direct Care Staff.
2. Over the Housekeeper Staff.
C. DELEGATES TO RECEPTIONIST, AUTHORITY TO:
1. administer the front office in accordance with generally accepted administrative practices.
D. DELEGATES TO JANITOR, AUTHORITY TO:
1. to perform heavy cleaning, minor repairs, and assist as needed, in the kitchen, in the laundry and in driving.
