PJHM is seeking an Executive Assistant & Office Manager to support our principals across multiple offices. This role involves coordinating schedules, managing communications, preparing meeting materials, and handling various administrative and office management tasks. The ideal candidate should possess excellent time management skills, anticipate the needs of the principal team, and maintain professionalism when interacting with a diverse range of individuals, including senior management. This role requires handling sensitive information with discretion.
Pay Range: 60K – 70K Annual salary.
Position Responsibilities Include:
- Provides high-level administrative support and assistance to the principal team, and other assigned leadership staff.
- Performs clerical and administrative tasks including drafting letters, memos, reports, and other documents.
- Maintain Principal team calendar, including scheduling meetings, appointments, and travel (may include domestic and international) arrangements.
- Working at the reception area and greeting all incoming traffic into the office
- Maintain confidential and sensitive information.
- Maintain paper and electronic filing systems.
- Performs office tasks including maintaining records and ordering supplies and coordinating with multiple vendors at multiple office locations.
- Provide administrative support to ensure efficient operation of offices.
- Prepare schedule for office and other meetings.
- Receive deliveries.
- Performs additional duties as assigned by Principals.
- Performs other related duties as assigned.
Requirements:
Education:
- Bachelor's degree in business administration, communications and/or related field – preferred.
Qualifications - Skills/Experience:
- A minimum of five years of related experience required.
- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Prioritizes conflicting needs; handles matters expeditiously and proactively
- Excellent communication and interpersonal skills
- Exhibits sound judgement with the ability to prioritize and make decisions.
- Comfortable interacting with high-level executives
- Resourceful, can-do attitude
- Valid California Driver’s License
Working conditions:
This job is in an office environment, nearly always working indoors.
Physical Requirements:
- Stationary Position frequently remains stationary up to 90% of the time and sitting up to 8 hours in a day. The employee will spend most of their time sitting at desk, typing on keyboard, viewing computer monitor, answering telephone calls.
- Move/Traverse infrequently bend, stand, stoop and/or walk.
- Carry Weight infrequently carry weight and/or lift objects (light to heavy) weighing up to 25 pounds.
- Hearing and Speech frequently communicates with the ability to hear and talk on a regular basis with employees, coworkers, and all personnel matters; must be able to exchange accurate information in these situations.
- Sight frequent use of sight to detect images on computer, office documents, and office objects near and far.
