Job description

Job Summary: We are seeking an efficient and organized Office Manager with experience in managing accounts payable functions. The ideal candidate will be responsible for overseeing administrative tasks, coordinating office operations, and managing the accounts payable and receivable process. This role requires strong organizational skills, attention to detail, and the ability to prioritize tasks effectively.

Responsibilities:

  • Office Management:
  • Maintain office services by organizing office operations and procedures.
  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Assist in the onboarding process for new employees, including setting up workstations and providing necessary resources.
  • Accounts Payable/Receivable:
  • Process accounts payable invoices accurately and timely.
  • Match purchase orders with invoices to ensure accuracy of billing.
  • Verify and reconcile invoices and statements.
  • Prepare and perform check runs.
  • Investigate and resolve invoice discrepancies and issues.
  • Communicate with vendors regarding payment inquiries and discrepancies.
  • Maintain vendor files and ensure accurate record-keeping.
  • Preforming month-end closing processes related to accounts payable.
  • Prepare and maintain various accounts payable reports.
  • Financial Administration:

· Perform bank reconciliations to ensure accuracy of financial transactions

· Maintain general ledger accounts by reconciling and analyzing balance sheet and income statement accounts

· Prepare financial statements and reports for management review

· Process accounts payable and accounts receivable transactions

· Manage payroll processing

· Pay and file monthly sales tax and use

· Maintain accurate and up-to-date records of financial transactions

4. Administrative Support:

  • Provide administrative support to management and other staff as needed.
  • Manage incoming and outgoing mail.
  • Answer and direct phone calls in a professional manner.
  • Perform other administrative duties as assigned.

Qualifications:

· 5 years of experience in accounts payable/receivable

· Proven experience in office management and accounts payable.

· Proficient in MS Office, particularly Excel and Word.

· Experience with accounting software QuickBooks (Desktop and/or Online) is a must.

· Excellent organizational and time management skills.

· Ability to multitask and prioritize tasks effectively.

· Strong attention to detail and accuracy.

· Excellent communication and interpersonal skills.

· Ability to work independently and as part of a team.

· Discretion and confidentiality when handling sensitive information.
