OFFICE MANAGER

We are looking for an experienced individual to take on the role of Office Manager for our innovative and growing East End Property management company at our beautiful new Westhampton Beach office building. 

Ideal candidate should be very organized, detail oriented and possess great communication skills to positively support and interact with both our clients and management.

As Office Manager you will work closely with the management team to provide administrative support. You will be responsible for the management and continuing development of a team of 2-3 Admins to assist in successfully executing all administrative, payroll, and book keeping aspects of our business. Candidate must be organized, self-motivated and able to multi-task.

Candidate must possess a strong understanding of and experience in all aspects of Accounts Receivables/ Payables.

The primary responsibilities of Office Manager (with assistance of admin team) are:
 -Bookeeping- ie;  Accounts Payable; process, review and approve invoices.
Account Receivables; generate billing and follow up with our clients & maintain accurate client account statements. -Banking; Post deposits/keep deposit log, reconcile statements.
-Manage office calendar, schedules employee time off and reminders.
-Maintain our database of clients and status.
-Maintain automobile fleet records.
-Preparation of certain sales tax reports in conjunction with our outside accountant/bookkeeper and generating monthly financial reports.
-General ledger review
-Communicate effectively and concisely both verbally and in writing
to communicate with clients, vendors, internal and external staff.
-Team oriented & professional

Technical Job Requirements:
  Proficient in MS Office, Excel, Word and Outlook
  Proficient in QuickBooks Online & Desktop versions.
  Excellent accurate data entry skills needed for managing day to day entries of receipts and invoices

Additional responsibilities may include but not limited to answering the phone while receptionist is on breaks or during busy periods.

Job Types: Full-time
Pay: $21.00 - $28.00 per hour

  High school, AA or BA (Preferred)
