Role Summary: As our Office Manager, you'll be the backbone of our office operations, providing essential administrative support to our team. Key Responsibilities:
- Manage job files and documentation using project management software.
- Update project lists for seamless coordination.
- Process payroll and per diems, ensuring accurate documentation.
- Utilize Procore software for project management and reporting.
- Generate weekly reports on collections, CSI, and JOR.
- Facilitate acquisition of Certificates of Insurance for compliance.
- Prepare and submit Work in Progress (WIP) reports.
- Reconcile financial data using Clearstory software.
- Verify Master Subcontractor Agreements for contractual compliance.
- Oversee subcontractor payment applications and purchase order processing.
- Coordinate Thank You cards and Job Awarded information sheets.
- Handle check deposits and office travel bookings.
- Maintain lists of approved drivers/vehicles, order gas cards, and update GPS.
- Assist in customer pre-qualification paperwork.
- Conduct weekly collections follow-ups.
- Address incoming calls and greet walk-ins warmly.
- Manage office inventory and supply procurement.
- Handle incoming/outgoing mail and document meeting minutes.
- Support employee onboarding/offboarding processes.
- Coordinate with suppliers and vendors for project needs.
- Use project management tools for monitoring and planning.
- Prepare monthly project billing.
- Communicate effectively with customers and project managers.
- Attend project coordination meetings as needed.
What We're Looking For:
- Prior Office Manager experience in the Construction Industry.
- Basic Accounting knowledge.
- Proficiency in Microsoft Outlook, Word, Excel, and One Drive.
- Excellent interpersonal and communication skills.
- Ability to interpret project scope and blueprints accurately.
- Exceptional organizational and time management skills.
- Capacity to manage multiple projects in a fast-paced environment.
