Office Manager Job Duties:
- Maintains office services by organizing office operations and procedures; preparing payroll; Accounts receivable; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
- Payroll Responsibilities:
- Process payroll/ payroll taxes/401k bi-weekly, monitor vacation time, employee purchase receipts, etc.
- Report 941 and 940 quarterly reports
- Obtain time cards and process by Weds for Direct deposit – Manage time card timeliness the best you can.
- Accounts receivable Responsibilities:
- Notify Brian of any late payments on the 20th.
- Payments to subs after obtaining waivers from their company and supplier waivers from Any Notice of Furnishings received, and any new first time Subcontractors we are using.
- Billing Responsibilities
- Billing cut off is the 25thof each month so we must bill by the 30thof each month
- Willing to learn AIA billing system
- Must be highly familiar with Quickbooks.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Track vehicle usage including mileage, fuel, and repairs and report 1stand 6thmonth of each year
- Track equipment cost’s and repairs – report once a year
- Provide Monthly financial P&L reports by the 5thof each month
- Provide accounts receivable report each month as close to the 19thof each month.
- Within 15 days of project final payment prepare project analyst to Brian for approval.
- Maintains office by coordinating cleaning and all supplies as needed.
- Applicant is responsible for HR procedures and manuals for
- Contributes to team effort by accomplishing related results as needed.
- Maintaining a couple of smaller LLC’s incorporated with the Main Business.
- Other Items as directed by the Manager
