This position will be responsible for overseeing a wide range of administrative duties, including but not limited to: scheduling for all staff, purchasing office supplies, maintaining the company's network and making sure the office building is clean. We are looking for an organized manager who thrives in a fast-paced environment and can handle a wide range of responsibilities at once. The ideal candidate is innovative, detail-oriented and possesses excellent communication skills.
Responsibilities:
- Answer multiple phone lines.
- Schedule service calls.
- Collect all billing for completed job numbers and review for accuracy.
- Create daily bank deposits as available.
- Calculate time sheets for both companies (RJO & Residential Plumbing, Heating, & Cooling).
- Miscellaneous office duties as needed: typing out estimates, answering emails from vendors/customers, filing, etc.
- Accounts payable and receivable
- RJO job file set up (check list completion).
- RJO job billing per requirements.
- Post all accounts receivable invoices using accounting software.
- Maintain and update office records.
- Maintain confidential information and documents.
- Manage company email account.
- Manage company messaging services.
- Manage employee schedule.
- Special projects as needed.
Job Type: Full-time
Pay: $18.00 - $23.00 per hour
