About the job:
This role supports the Bridgewater Site Manager and HSE Manager in the day-to-day operations of the site as detailed below. In addition, the role requires the ability to work with staff across multiple departments.
In your future role as an Office Coordinator/Executive Assistant, you will:
- Answer telephone calls to the main telephone number and route as appropriate.
- Create purchase orders following company protocols. Review and process invoices for payment. Maintain a database of all POs and related invoices.
- Ensure Site Security protocols are communicated and implemented.
- Handle Meeting and Event planning and coordination. Note given the nature of the R&D Center, the visitors include Wall Street investment community members, key customers, and Nouryon executive management.
- Plan company events and service in the community
- HR Recruitment – assist HR Business Partner, recruiter, and site managers with recruitment/ interview activities.
- Assist with onboarding activities for new hires.
- Keep site informational documents up to date and share as appropriate.
- Manage office and canteen supplies while managing costs.
- Break Room maintenance.
- Manage one-off purchases with the corporate Purchasing Card following established guidelines. Submit monthly T&E report on a timely basis.
- Manage visitors to the site ensuring protocols are followed.
We believe you bring:
- 5+ years of applicable office management/executive assistant experience
- Ability to work on site at our Bridgewater, NJ location.
- Bachelor’s degree or equivalent applicable experience.
- The ability to handle confidential information with discretion.
- The ability to multitask, prioritize, and organize workload.
- Attention to detail and problem-solving skills.
- Ability to identify and address issues appropriately.
- Ability to take ownership of special projects as assigned.
- Experience with various forms of office software and equipment: SAP/Ariba, Microsoft Office (Outlook, Word, Excel, Powerpoint, Teams), Kronos, Concur, etc.
- Strong follow up skills
Good to know:
This is a permanent position on a full-time basis, reporting to the Site Director and based in Bridgewater, NJ.
