Join TotalEnergies Renewables USA, LLC as an Office Coordinatorcontractor reporting to our NYC office 5 days weekly. This is a new addition to our team as we are strengthening our presence in renewable energies.
The Office Coordinator will be an independent organizer of the office and take responsibility for the public facing elements of the workspace as well as the creation of a quality working environment for all staff.
What You Will Bring:
- High school diploma or GED required; associate or bachelor’s degree preferred
- At least 3 years of related experience supporting an office environment
- Proven experience as an office administrator, office assistant, Office Coordinator, office manager, or relevant role preferred
- Technically savvy, able to trouble shoot basic IT issues
- Proficiency with Microsoft Office applications; SharePoint a plus
- Experience with event planning;
- Creative approach to team development;
- Ability to work independently and proactively identify office needs
- Comfortable in a fast-paced environment
- Great customer service and interpersonal skills, friendly, service-oriented personality
- Organized, attentive to detail, reliable, proactive
- Experience being involved in relocation of office premises a plus
INTERNATIONAL CONSIDERATION:
The Office Coordinator, based in our NYC office, will
- Anticipate and manage office needs, including monitoring inventory and ordering office and break room supplies;
- Manage and account for office resources, inventory, and team activity budgets;
- Serve as a Point of Contact to building management and coordinate facilities, vendors, service providers and all relevant third party resources and services, including submitting work orders and scheduling repairs for office space and equipment;
- Oversee office technology infrastructure, coordinate with IT on any technical issues (AV system, WiFi, etc), and coordinate software and equipment updates;
- Communicate important building updates to staff in a timely manner;
- Act as the Office safety Point of Contact and ensure a safe, tidy, and efficient working environment;
- Manage incoming and outgoing mail and packages, prepare mailings (mail merge, stuff envelopes, hand address letters, etc);
- Manage registration/record keeping of office guests and visitors, ensure guests are connected with the right personnel;
- Assisting new staff (setting up office access/badges for newcomers, showing them around to office basics like WiFi, liaising with IT for hardware mailing and setup, etc);
- Manage schedules and setup for conference and community spaces, maintain Outlook listserv and shared calendar;
- Organizing seasonal/holiday events, celebrations, team building activities, meals, etc;
- Enforcing office policies and procedures and communicating policy changes to staff;
- Manage vendor relations, support the establishment of purchase orders and invoices for office activities and team orders; and
- Work closely with Houston office to streamline and harmonize the administrative and office management activities.
