The Office Assistant will provide high-level administrative support by handling information requests, and performing clerical functions such as, but not limited to, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

 

Roles & Responsibilities

 

  • Greet visitors in a friendly and professional manner.
  • Responsible for timecard management - daily reviewing and approving of timecards in Dynamics 365 timekeeping application.  Responsible for reviewing for timely submittal and that all required data points have been accurately included by colleagues.
  • Receive faxes, mail, and packages and deliver to correct department or personnel.
  • Arrange for food and beverages delivery for meeting and training events as required
  • Oversee meeting room bookings and coordination of requests
  • Maintain and Facilitate employee length of service recognition program
  • Assist the San Diego Executive team and uphold confidentiality in the execution of the role.
  • Office Management: manage inventory and ensure daily stocking of office supplies, maintaining cleanliness of kitchen area, complimentary snacks and beverages, restroom supplies, and associated vendors
  • Arrange couriers to other branches, customer, and suppliers as needed
  • Assist the OH&S Manager – managing inventory and ordering of company-provided PPE, first-aid kits, fire extinguishers, and other safety-related equipment
  • Assist in coordinating travel for the San Diego Operations team including airline, hotel, rental car, and other travel related tasks
  • Perform other general administrative functions for corporate office or corporate departments
  • Order office/kitchen supplies as needed, check stock on a weekly basis
  • Ensure that office is neat and presentable for customer/vendor relations
  • Distribute office supplies in a timely manner

 

Requirements Qualifications

  • Minimum (3) years direct related experience
  • Excellent verbal and written communication skills
  • Excellent organizational and planning skills
  • Sound judgment and decision-making abilities
  • Ability to operate as part of a team
  • Strong multitasking and accountability skills
  • Must be a team player and comfortable in high pressure situations
  • Must be able to prioritize
  • Experience in Microsoft Office programs

Demonstrated Competencies

  • Excellent attention to detail, organization, verbal, and written communication skills
  • Ability to maintain a professional and positive attitude in a fast paced and high-pressure environment
  • Initiative and ability to research problems independently, finding root cause
  • Emphasis on sharing of knowledge through good communications, peer training and written documentation
  • Strong inter-personal skills
  • Positive customer service and team attitude (helping others when required)
  • Knowledge of Construction Accounting software a plus

Compensation: $25 to 30 an hour DOE 

Physical Demands

In general, the following physical demands are representative of those that must be met by an employee to successfully perform the essential functions of the job.

  • Must be able to effectively communicate, (i.e., see, hear, speak, and write clearly) in order to communicate with colleagues and/or customers; manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment
  • Position is a desk job requiring the use of computer, keyboard, and phone
