The Lifelong LearningOffice Assistant will play a crucial role in delivering administrative and logistical support for three key initiatives: Alumni College, the travel program, and W&L At Home. Alumni College comprises two enriching academic programs held on campus in July, along with three weekend seminars throughout the academic year. W&L's esteemed travel program offers fourteen educational travel opportunities spanning the globe. Additionally, W&L At Home presents engaging virtual programs, including a podcast series, webinars, and a book club. These diverse Lifelong Learning offerings cater to alumni, parents, and friends of the university, providing enriching experiences for the entire community.

Essential Functions:
- Coordinates promotional material for Lifelong Learning programs
- Updates travel videos/slideshow for website
- Processes new travel reservations and campus program registrations
- Reconciles tour operator passenger lists
- Processes trip and event evaluations
- Reception of guests - in person and via phone
- Prepares invoices, and processes payments
- Imports constituent data into Raiser's Edge
- Exports lists from Raiser's Edge to prepare promotional mailings and participant lists for campus and travel programs
- Organizes tour materials for individual participants
- Produces event bios and briefing information for events and programs using Raiser's Edge and in coordination with Advancement Operations
- Creates labels, nametags, and packet materials for Alumni College and travel program
- Edits transcripts for selected Podcast episodes
- Assists with research projects as needed
- Other related duties as assigned.
Minimum Qualifications: Working knowledge of Microsoft Word and Excel. Experience using a database is a plus. Ability to multi-task, prioritize and work independently. Good customer service and organizational skills. Good oral and written communication skills.
Work Schedule: April - August 2024, 8:30 AM - 4:30 PM (flexible hours). This position will work a maximum of 29 hours per week.
