Discover the opportunity to be the organizational backbone of our Parks and Recreation team as an Office Assistant at our Maintenance Services Center!

Duties include but are not limited to: responding to phone calls, mail, email and in-person inquiries; addressing requests from the public, employees and other City departments; and working with contractors and vendors, and other organizations and agencies.
CLASS CHARACTERISTICS
Office Assistant I: Office Assistant I is the entry-level class of this clerical series. Initially under close supervision, incumbents learn office and City procedures. As experience is gained, there is greater independence of action within established guidelines. Incumbents normally advance to the Office Assistant II level after two years of successful experience at the Office Assistant I level, and demonstrating proficiency for performing Office Assistant II level work.
Office Assistant II: This is the journey-level class of this series, fully competent to perform a variety of clerical support duties. All positions are characterized by the availability of supervision in non-routine circumstances. Specific duties, including the amount of typing, will vary with the department or division to which assigned. May act as a lead over an Office Assistant I incumbent.

Is highly professional, patient, respectful, and ethical; possesses excellent problem-solving skills and a can-do attitude. Communicates effectively and proactively both verbally and in writing. Enjoys working in a small town atmosphere with an engaged public, including merchants, property owners and residents.
Examples of Duties

- Management of Memorial Bench Program.
- Management of Banner Program.
- Providing customer service to the public at Maintenance Service Center (MSC).
- Resource to maintenance staff for communication and access to city documents.
- Acts as receptionist and receives and screens visitors and telephone calls.
- Types correspondence, reports, forms, and specialized documents related to the functions of the department or division from drafts, notes, or brief instructions, using a computer.
- Provides telephone coverage, taking messages and directing calls to appropriate staff members or city departments.
- Provides public information and interprets departmental procedures for employees and the public.
- Establishes and maintains office files.
- Orders, maintains department supplies, and may occasionally drive vehicle to run errands for department.
Minimum Qualifications
EDUCATION AND EXPERIENCE
Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:
Office Assistant I:
Education:
- Equivalent to graduation from high school.
- Basic office practices and procedures, including filing and the operation of standard office equipment, including computers and related software.
- Correct English usage, including spelling, grammar and punctuation.
- Developing and maintaining effective working relationships with those contacted in the course of work.
- Understanding and carrying out oral and written instructions.
- Maintaining accurate records and files.
- Making accurate arithmetic calculations.
- Performing detailed clerical work accurately.
- Operating a computer and using related software.
- Rapidly learn the specific procedures and terminology of the organization unit to which assigned.
Office Assistant II:
In addition to the minimum qualifications for Office Assistant I:
Experience:
- Two (2) years of general clerical or office assistance experience.
- Business letter writing and the standard format for typed materials.
- Policies and procedures related to the department or division to which assigned.
- Basic business data processing principles.
- Organizing and maintaining office files.
- Composing routine correspondence from brief instructions.
- Using initiative and sound judgment within established guidelines.
- Prioritizing work and coordinating several activities.
- Communicating tactfully and effectively with the public, including interpreting and applying detailed rules and regulations.
