Seeking to hire an Office Assistant with experience in Microsoft Office, scheduling, collections and customer service care. This position will be responsible for filing and maintaining paperwork, answering phones and emailing. Candidate should have a good attitude, be organized and efficient with a strong ability to prioritize and complete tasks quickly and efficiently. Must be able to adapt to changes, identify needs or challenges and proactively address them. Candidate should have reliable transportation and is able to work on weekdays.
Essential Duties & Responsibilities
- Answers and screens telephone calls in a professional and timely manner and takes accurate messages with a high degree of professionalism and courtesy.
- Create service calls on scheduling platform and update as needed.
- Call on accounts that are past due and make weekly follow ups.
- Composes, types and distributes professional correspondence using email and faxes.
- Performs general clerical duties including but not limited to filing, photocopying, faxing and mailing.
- Understand and follow written and/or verbal directions.
- Strong internal/external customer relation skills required to communicate effectively.
- Work with confidential/sensitive information and use diplomacy in communicating such information.
- Organizational, time management, and problem-solving skills.
- Self-motivated to seek additional work and willing to learn.
Qualifications/Skills candidate must possess:
- Knowledge in Microsoft Word and Excel, creating spreadsheets.
- Must be able to multi-task, follow exact directions and prioritize.
- Exceptional communication skills, verbal and written.
- Professional grammar and proper punctuation.
- Maintain confidentiality of sensitive information.
- Answer phones and any additional duties assigned.
