Position Title: Division Assistant – Executive Office Assistant
Supervisor’s Title: Executive Assistant
PURPOSE OF POSITION:
The Division Assistant advances the mission of PenMet Parks by planning and performing office support activities under supervision of the Executive Assistant. This position helps organize office functions, processes, and operations. The assistant will engage with community members, contractors, vendors, and employees.
ESSENTIAL DUTIES:
1. Provides support for the Executive office.
2. Assists with delivery of services, projects, and logistics as assigned.
3. Assists with coordination of Board of Commissioner and Executive Office activities.
4. Ensures contracts, documents, and other compliance requirements are complete.
5. Assists with organizing and maintaining District records in accordance with the Washington State Retention Schedule.
6. Develops and maintains effective professional relationships with internal and external customers.
7. Ensures work is thoughtfully completed, accurate, and error free.
8. Supports an inclusive work environment that respects diverse ideas, backgrounds, and styles.
QUALIFICATIONS:
Required Skills:
1. Familiarity with municipal requirements as defined by Washington State.
2. Demonstrates active interest in continual learning to enhance and apply new skills.
3. Familiar with policies and procedures.
4. Performs multiple tasks simultaneously.
5. Prioritizes and organizes work-based timelines.
6. Works cooperatively and collaboratively with internal and external colleagues.
7. Possesses excellent written, listening, and verbal communication skills.
8. Proficient in Microsoft Office
Required Experience:
· Two years of experience in an administrative role and/or a customer service setting.
Required Education:
· High School Diploma or GED.
WORKING CONDITIONS AND PHYSICAL DEMANDS:
· Work is performed primarily in an office setting.
· Prolonged periods of time may be spent using a computer, telephone, and other office equipment.
· This position will require seeing, talking, walking, standing, bending, and carrying.
· This position will require sitting for long periods of time and walking and/or standing is only required occasionally.
· The position will occasionally require you to lift and carry up to 10 pounds.
Job Type: Part-time
Pay: $20.85 - $31.55 per hour
Expected hours: 10 – 15 per week
