Office Administrator/Paralegal
Looking for an office job in a casual work environment? We offer a part-time, flexible position with a fun group of lawyers in an awesome office right by the river in Downtown Minneapolis! This is definitely not your stereotypical stuffy old law office. Easy access to public transit and an off-street parking space is provided.
Job Responsibilities:
Provides administrative support to ensure the office operates efficiently
Answers phone calls, schedules meetings and greets visitors and clients
Carries out administrative duties such as filing, scanning, etc.
Exhibits polite and professional communication via phone, email, and mail
Supports office management by keeping supplies stocked, helping with office organization, etc.
Initial screening of potential clients when they contact the firm
Generating, editing, and sending out invoices to clients
Managing accounts receivable and collections needs
Managing accounts payable
Processing inbound and outbound mail
Writing basic correspondence
Managing server and client files, including scanning, downloading and filing documents, and maintaining client files
Basic document drafting, assisting attorney with applications for tax exempt status
Communicate with court staff regarding scheduling, filings, and other needs
Basic bookkeeping
Part-time, flexible schedule. We are looking for someone to be in the office 25-30 hours per week, Monday-Friday. Our office is generally open between 9:00 AM until 5 PM. Dress is casual but may need to be business casual from time to time. Employees start with two weeks of paid time off on a pro-rated basis (two weeks is what is provided for full-time work at 40 hours a week). Starting hourly rate of $25-$30 per hour, depending on experience and qualifications.
We unfortunately do not currently offer a health care plan. However, employees are immediately eligible to participate in our 401k. We match the first 3%, and then match 50% of what you contribute after that up to the first 5% you contribute (so, if you put 5% in your 401k, we will match 4% of that).
Desired Skills and Qualifications:
Experience with customer service/client communication
Good writing skills
Experience with Microsoft Office/Office 365, ECF, Odyssey, QuickBooks and Clio
Prior experience in a law office, including drafting basic documents, interviewing witnesses, communicating with courts, etc.
Organized and skilled at setting up systems/processes for office management, task management, etc.
Detail-oriented
Good at multi-tasking
Interest in learning about the process for obtaining tax exemption for nonprofits
Education and Experience Requirements
High school diploma or equivalent education required, undergraduate college degree preferred but not required
Administrative assistant experience
Knowledge of appropriate software including: Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat (or similar PDF software)
