What is Album?
We support startups (mostly locally) and 100% of the partners’ time is spent on that singular task. Investing in the startups & working closely with founders and their teams. As such, we rely on supporting team members (just 2) to cover the other bases.
What can I expect to do?
In-office tasks:
- Front Desk: Be the first impression, energy, and presence at the front desk. Welcome office visitors by planning ahead with a little knowledge of who they are (search Linkedin for 3 minutes the morning of) – energy and attitude really matters: startups are really hard, and we hope founders find support and help at Album.
- Office Logistics:
- Ordering/plating lunches for guests and team
- Keeping drinks and snacks/fruit stocked weekly and maintaining a tidy kitchen area
- Retrieving and sending mail and packages
- Keeping swag and other supplies organized
- Communicating with the landlord for service needs
- Swag and annual founder gifts: Work with a partner(s) to place swag orders, picking for exceptional quality/look and similarly ordering holiday and other founder gifts a few times per year. It’s about quality and great pieces, not mass-ordering of cheap stuff ;)
- Any office gatherings: Occasionally we will have team activities (just 5 of us) or spouses/family get togethers. Coordinate and own these (3-4x per year).
- Office order: Walking the office first thing and throughout the day to see that everything is orderly and neat. Noticing what others may not and solving it or asking a partner.
- Miscellaneous Errands: a carwash, delivering something urgent, a gas run, a snack run, etc. The partners will have things come up in work and life and you need to be willing to take on any task and knock it out.
In or from-home tasks:
- Social media management: Daily monitoring of portfolio company social media feeds and acknowledging (liking) content from our portfolio companies and founders.
- Community calendar: surfacing activity/events in the Utah tech community that may be worthwhile to the team to know of, and occasionally attend some
You’ll know you’re successful when:
- You give the partners leverage with our network - you help us handle the logistics of meeting more people, and keeping previously established relationships warm: this is the highest ROI thing you will do for Album
- You make everyone who ever interacts with Album feel we’re thoughtful, attentive, and worth remembering. They all feel taken care of by Album.
- Nobody else at Album ever has to think about any logistics at the office.
Why the range in hours/week?
- Dynamic Schedules: there is a baseline of hours needed to open up and prep the office to receive visitors. Some weeks are busier than others, and some weeks can be quiet (Summer and holidays). Someone who likes a busy couple of weeks followed by a random lighter week would be ideal.
- General idea of hours:
- Mondays roughly 10am-4pm; this day is partner mtg with fewer visitors
- Tues-Thurs ranging from 9am-5pm; more visitors and hosting portfolio companies
- Friday is typically lighter and more flexible
What type of people are best for the role?
- Friendly, people person
- You bring energy & warmth to the space
- Organized– have your system of keeping things straight
- Communicative– proactively communicate/coordinate with the team
- Proactive– you learn quickly how things operate and with time minimize the need for input from partners; you keep all the “trains running” in terms of the office flow of guests, meals, and needs.
- Discrete– we work with founders who are putting it all on the line to chase their dreams and partners who are consumed in supporting them. Information and conversations are all confidential.
- Ability and willingness to work in email and Slack (messaging application)
- If you have a background in tech that’s fine but it’s absolutely not necessary. Former teachers, medical/dental office managers, party planners, and retail professionals are all backgrounds who could transition into being an extremely effective office managers for us.
Job Type: Part-time
Pay: $20.00 - $25.00 per hour
Expected hours: 20 – 30 per week
