Job Description:
As the Office Administrator, you will play a vital role in the smooth operation of our office and support our team in delivering top-notch exterior services. You will be responsible for a range of managerial and administrative tasks that contribute to our overall efficiency and customer satisfaction.
Job Responsibilities:
● Assist contractors, clients, and vendors in a friendly and professional manner.
● Answer and direct incoming calls and emails to the appropriate team members.
● Provide administrative support to the management team, including scheduling appointments, managing calendars, and organizing meetings.
● Coordinate and schedule installation crews, material running, and install schedules and timelines.
● Communicate with clients to confirm schedules and provide updates on timing.
● Assist customers with inquiries, order processing, and issue resolution in a prompt and courteous manner.
● Track and maintain inventory of exterior materials, equipment, and supplies.
● Prepare and process invoices, purchase orders, and financial records, including preparing AR and AP.
● Collaborate with crews and dispatch to ensure efficient scheduling and job assignments.
● Assist in ensuring the company's compliance with relevant regulations and safety standards.
Qualifications:
● High school diploma or equivalent
● Proficiency in QuickBooks.
● Proven experience in office administration or a similar role.
● Experience with invoicing, accounts receivables, and accounts payables.
● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
● Strong organizational and multitasking skills.
● Excellent communication and interpersonal abilities.
● Attention to detail and a high degree of accuracy.
