Job Description
We are looking for a responsible, energetic Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include assisting in daily office needs, managing our company’s general administrative activities, providing support to the Finance Manager. The ideal candidate should have excellent oral and written communication skills, strong attention to detail, MS Office 365 experience with a good working knowledge of MS Excel and the openness and flexibility to wear many hats. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
- Answer and direct incoming phone calls.
- Write and distribute emails.
- Maintain the current filing system.
- Order and maintain all office supplies.
- Greet and provide general support to visitors.
- Assistance with Continuing Education Class management; incl. set up, attendance, Q&A
- Assist with Human Resource tasks as needed.
- Managing the Frasch Hello Email and Revit Requests
- Scanning job documents into CSI and Project Folders
- Sending out invoices to customers
- Event management i.e., customer and sales rep factory tours, A&D presentations, birthdays, lunches, etc.
- Manage event hospitality; Supplies; food, drinks, catering, guest travel when applicable.
- Provide Admin support to Leadership Team i.e., travel, customer tours, misc. reports.
- Work with CAG IT on IT issues in the office
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment
- Proficiency in MS Office 365
- Working Knowledge of QuickBooks and T-Sheets a plus
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task
- High School diploma: additional qualification as an administrative assistant or secretary will be a plus.
