Responsibilities:
- Manage office operations and ensure smooth daily functioning
- Contract management including Docusign
- CRM maintenance and management
- Project management
- Payment processing and tracking
- Customer communication
- Upload new sites
- Google business profile upkeep
- Answer and direct phone calls, take messages, and provide information to callers
- Maintain office calendar and schedule appointments and meetings
- Coordinate travel arrangements and accommodations for staff
- Assist with organizing and coordinating company events and meetings
- Manage office supplies inventory and place orders as needed
- Handle incoming and outgoing mail and packages
- Maintain filing systems and ensure proper documentation and record keeping
- Support HR department with administrative tasks such as employee onboarding and offboarding
- Assist with financial tasks, including invoicing, expense tracking, and basic bookkeeping using QuickBooks
- Oversee vendor relationships and manage vendor contracts
Skills:
- Proficient in using phone systems and handling phone etiquette professionally
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent time management skills to ensure deadlines are met
- Ability to manage a team, delegate tasks, and provide guidance when necessary
- Experience in office management or administrative roles is preferred
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with QuickBooks or other accounting software is a plus
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
