Job Summary
Perform a wide variety of office administrative support by answering all incoming calls, book all new jobs in BaaN 6, create all job folders, organize and maintain accurate job records. Create job repair manuals, purchasing orders in BaaN 6 for all office supplies; prepare all AP and AR for RP Tulsa. In addition to having the ability to work on multiple projects and have the flexibility to change priorities, as business conditions require.
Responsibilities and Duties
- Responsible for answering all incoming calls.
- Create all job folders, new jobs in BaaN 6, job repair manuals, purchasing orders in BaaN6 for all office supplies
- Organize all job records, office supplies,
- Maintain accurate records with new jobs, job repairs and any other job records.
- Prepare account receivables and account payables for home office.
- Support management in the arrangement and conduct of special meetings and training sessions for customers other visitors. Prepare manuals, print nameplates, run copies and overheads for meetings, reserve and set up room/rooms for meetings and assist in providing food for lunches and breaks. Make dinner arrangements as required.
- Assist writing purchase orders for shop supplies, job related materials and services. Create, edit, and publish procedures and instruction manuals with content provided by others.
- Responsible for overall appearance of conference room.
- Additional duties as assigned.
Qualifications and Skills
High School Diploma or Equivalent. 3 years Administrative/Clerical experience.
Working knowledge and use of current Microsoft Office products, Outlook, and Baan 6 and Adept. Good communication skills both written and oral are required. Able to complete multiple tasks concurrently and work in a fast paced environment while demonstrating skills for organization and time management. Work and participate in a dynamic team environment.
